REHABILITATION OFFICE ADMINISTRATOR

Caleo Health is a partnership of Spine Surgeons associated with the University of Calgary along with Spine Focused Physicians, Physiatrists, Physiotherapists, Chiropractors & other Allied Health Professionals.

We are presently seeking a full time Medical Office Assistant to support our rehabilitation team at our busy practice in NW Calgary.

Responsibilities

Client Service

· Greet and assist patients as soon as they come into the clinic

· Handle traffic flow at the counter

· Assist with inquiries, parking extension

· Assist other visiting doctors with parking

Rehab Booking

· Arrive and process triage and rehab patients

· Provide instruction for form completion and check for completeness

· Keep track of AHS treatments and update EMR

· Tracking coverage

· Patient fall off calls

· Rebook patients for future appointments

· Appointment confirmations for the following day

Billing

· Process payments for MVA, WCB, AHS, Private, direct billing portals, etc

· Invoice and follow up on A/R

· Cash to be submitted to Accounting as payment processing is completed

Cleanliness & Organization

· Ensure organized and clean workspace and patient reception area

· Coffee area should be clean and well-stocked

· Keep track of supplies and inventory, email requests when needed

· Assist with laundry

Administrative

· Answer inquiries and redirect calls appropriately

· Check and deal with voicemails regularly throughout the day

· Regularly retrieve, sort faxes and mail and put in correct folders

· Ensure STAT reports are delivered to providers right away

· Manage and redirect those that do not belong to the clinic

· Process outgoing mails

· Receive and ensure accuracy of deliveries

· Transfer laser appointments from one schedule to another

· Scan and link documents to patient files in EMR

· Prepare forms for next day’s triage patients including referral and disc(s) retrieval

· Organize and collate all invoices at the end of the workday

· Submit AHS billings in the HealthFirst portal accurately, correct mistakes when needed

· Restock forms when needed

· AHS and other reports to be submitted in a timely manner on a regular basis

Other Duties

· Provide assistance to rehab & triage providers (faxing documents, etc)

· Provide coverage to other areas of the clinic when necessary

· Manage the Lost & Found box

Qualifications

· Medical Office Assistant certificate required

· 3 - 5 years of experience within a medical office setting

· MUST HAVE experience with rehab, WCB and MVA claims

· EMR Experience, preferably Wolf and Practice Perfect
