The Office of Councillor Rice, Ward Ipiihkoohkanipiaohtsi would like you to consider this unique opportunity to work in a fast-paced and dynamic environment. As the Councillor’s Senior Council Assistant, you will work closely with the Councillor and other office staff to further advance the objectives of the office.

In this role reporting to the Councillor you will exercise considerable judgment and initiative ensuring the variety of demands that arise in the Councillor’s office are handled appropriately. Using your broad knowledge of how the City functions (policies, procedures, systems) you will:

  • Manage Ward Office constituent communications including resolving citizen inquiries and coordinating information flow with relevant departments. Answer constituent concerns and inquiries by phone and email including the follow-up and tracking of requests. Track and maintain a constituent database identifying issues for possible follow-up or information
  • Liaise with City departments, community leagues, external agencies and organizations, and other stakeholders on behalf of the Ward Office
  • Schedule and coordinate the Councillor’s business schedule including booking meetings and appointments and responding to event invitations
  • Prepare appropriate materials and background information as required for Council and Committee meetings, meetings with community organizations and groups, board meetings, and events
  • Research and provide briefings to the Councillor on a wide variety of issues and topics
  • Provide support to a variety of complex and politically sensitive issues that arise based on the concerns of constituents and other stakeholder groups
  • Prepare correspondence, briefings, speeches, newsletters, blog posts, social media, photos, videos, and any other form of Ward communication required
  • Review, research, and respond to media inquires
  • Monitor Ward Office budget including expense tracking and oversee and prepare travel and accommodation arrangements for the Councillor as needed
  • Coordinate and support opportunities to engage with constituents in the Ward
Qualifications :
  • A degree or diploma from a recognized post-secondary institution and a minimum of 2 years of related experience is required. Equivalencies may be considered
  • Strong communication skills and political acumen, including experience handling inquiries from the public is required
  • Detailed understanding of municipal governance and related issues
  • Demonstrated experience working with confidential information
  • Strong organizational and time management skills including the ability to organize events
  • Thorough knowledge of the principles and techniques of effective office management
  • Ability to work effectively with diverse groups and teams demonstrating strong interpersonal skills, including working with a positive, respectful and “can do” attitude
  • Excellent written and verbal communication skills
  • Demonstrated ability to summarize reports, research and analyze information, and compose correspondence.
  • Demonstrated ability to conduct research and environmental scans
  • Ability to effectively use Google products for word processing, correspondence, and calendar management.
  • Experience managing social media accounts including basic graphic design, taking photos and videos, and photo and video editing
  • Flexibility to occasionally attend evening and weekend community events

Up to two Permanent Term full-time positions

Hours of Work: 40 hours a week, occasional evening and weekend events

Salary: Negotiable. An excellent benefits package is available.
