Job Description

The opportunity

The Documents Installation Administrator is responsible for creating binding contracts, member booklets, and Memorandum of Agreements for all segments.

Responsibilities also include daily support to Installation staff from both a technical and procedural perspective related to contract interpretation, legislation, installation solutions and creative alternatives.

Providing consultation advice to Installation Administrators, Underwriters and RGOs with respect to products, contract legislation standard and non-standard wording for all segments.

Expected Volumes And Turn-around-Time
  • Volumes will vary month to month
  • Time spent to do the work will also vary, depending on the number of documents and the number of changes needed
  • Turn-around-time will be determined ahead of time by the Task Manager and will be based on complexity
  • Certain clients do have a Service Level Agreement that must be met
Key Accountabilities

Individual Accountabilities:
  • Identify opportunities for process improvements using the lean methodology and thereby contribute to departmental goals.
  • When necessary, develop non-standard contract language while maintaining the standard wording and meeting legislative requirements
  • As needed, be able to manage multiple amendments, and inquiries along with same day requests for rushes to meet target dates
  • Incorporates wording which cannot be generated via assembly through the standard policy and booklet wording bases.
  • Support Underwriting with contract reviews with the new business quote process.
  • Coach and mentor staff through systems and contract/booklet related issues and concerns.
  • Participates in cross functional projects and provides consulting expertise on the installation process and GB systems associated with that process; implements project deliverables into the installation process and workflows
  • Collaborates and offers options when it is determined that GB partners cannot administer coverage sold and a manual work around is required.
  • Prepares non-standard wording with respect to group policies, booklet, and memorandum of agreements, where necessary, creating or modifying templates and text blocks
  • Incorporate legislative changes to standard policy/booklet wording template
  • Write complex policy and/or booklet wording for up to and including large complex clients where the request cannot be easily administered within our standard practices.
  • Review, analyze, investigate, and interpret new business and amendment materials to ensure the critical information gathered and coded onto the system through the updating of text blocks and templates.
  • Create SCGs (service coding group) and DCTs (dental contract type) when required
Job Requirements
  • Solid knowledge of group benefit’s plan structure and complexities of Client Group Options.
  • Solid appreciation of the needs of plan sponsors, advisors, RGOs and other operation departments
  • Strong communication skills – both verbal and written
  • Knowledge of legal contract language and what we can and cannot write in a contract or member booklet.
  • Strong customer service skills
  • Demonstrated judgment and decision-making skills.
  • Flexible, creative and responsive to customer needs while ensuring Manulife is following all CHLIA Guidelines.
  • Demonstrates confidence/resilience in everyday situations
  • Attention to detail
  • Bilingualism is an asset
