Position Highlights

We currently have an exciting opportunity for a Part Time Administrative Assistantto provide administrative and secretarial support to the Clinical Operations Director of the Primary Health Care team located in Maple Ridge/Pitt Meadows, B.C.

Your specific duties will include:

  • Providing administrative and clerical support by drafting, transcribing and typing correspondence, reports, presentations, and memoranda.
  • Researching, organizing, and summarizing support materials as well as generating reports and presentations.
  • Responding to a variety of internal and external inquiries by serving as the primary point of contact.
  • Scheduling education and mentorship for clinical students as required.
  • Managing appointment calendars including scheduling and coordinating meetings, speaking engagements, and/or conferences as well as resolving scheduling conflicts and issues.
  • Coordinating the work flow within the assigned area as well as receiving, reviewing, and processing information with follow-up action as required.
  • Developing and implementing new work methods and procedures as well as identifying problems, developing alternate solutions, and implementing changes.
  • Arranging meetings as directed, booking and setting up meeting rooms, preparing meeting agenda, organizing meeting materials and recording minutes of meeting.
  • Assisting in the monitoring of expenditures for budget reports by capturing, compiling, and calculating information.
  • Performing record management duties while maintaining filing systems and databases.

We are looking for a bright, pleasant person with an eye for detail. You are able to juggle numerous tasks in a busy environment and conduct business in a professional manner while helping people as you display excellent communication skills.

You will take a thorough, hands-on approach to deliver high quality and precise work with a focused approach to complete routine day to day tasks and handle changing calendars, priorities, and timelines. We are looking for someone who will also carry a high level of integrity, discretion, and confidentiality.

Qualifications:

  • Completion of grade 12 and graduated from a recognized administrative or secretarial program
  • Three (3) years of recent related experience in a large complex business environment or health care environment
  • Ability to type 55 WPM and proficient with Microsoft Office applications at an intermediate level

An equivalent combination of education, training and experience is acceptable.
