Job Description:


Reporting to the manager of the Covid-19 Clinic, the Covid-19 Assessment Centre Coordinator is responsible for the daily functioning of multiple busy clinics for RVH. The Coordinator will oversee the day to day functioning of all clinics operating from the Sperling COVID assessment centre; Sperling Drive Covid-19 Testing Clinic, Sperling Vaccination Clinic, Covid, Cold & Flu Care Clinic, and Community Outreach Clinics. The start date for this position will be August 29, 2022.

Key responsibilities include the oversight, organization and smooth coordination of the operations and procedures of multiple clinics, ensuring a patient-centered focus within the clinics to ensure organizational effectiveness and efficiency. The ideal candidate will be able to work independently with little or no supervision, will be well organized, and flexible.

Operations and Customer Service
  • Oversees the safety and security of all assets, including projecting needs and ordering supplies, ensuring they are being properly utilized
  • Create and manage office protocols and procedures to ensure office efficiency and smooth day to day functioning of the clinics including education
  • Maintaining flexibility to respond to urgent requests and priorities
  • Interacting with internal/external contacts with a high degree of professionalism
  • Ability to project vaccine supply needs; order based off projection and reconcile all pharmacy inventory nightly.
  • Analyze data and develop communication material/briefings/reports for Senior Leadership and external stakeholders.

Liaises with all Stakeholders
  • Works collaboratively with multiple stakeholders to ensure customer service and cleanliness standards are being met, and smooth functioning of all clinics
  • Address day-to-day infrastructure and property management issues and serve as a point of contact with vendors and contractors
  • Collaborate with SMDHU and RVH Senior Leadership regarding current needs and future state planning.
  • Onboard new Professional Staff for both the vaccination and COVID, Cold and Flu Care Clinics
  • Audit Professional Staff clinic hours for OHT reconciliation

Human Resources, Systems & Finance
  • Schedule, attend staff meetings
  • Schedule Professional Staff for on-site clinics
  • Utilize scheduling software for patient booking portal

  • Delegate and utilize the on-shift staff, daily. Allowing the department to accommodate for variables such as sick calls, workplace injuries, supply shortages, and periods of increased workload
  • Maintain a positive and safe work environment
  • Maintain and trouble-shoot day-to-day issues with computer systems including Salesforce and Meditech Expanse
  • Maintain security of confidential information
  • Other responsibilities as required
Education:
  • Post-Secondary education in a related field required

Experience:

  • 5 years experience in health care setting
  • Proficiency with Microsoft Office, specifically Excel
  • Extensive knowledge of multiple scheduling systems
  • Extensive knowledge of Meditech Expanse
  • Knowledge of PHIPA and FIPPA legislation
  • Demonstrated ability to manage and coordinate workflow of others in a busy environment
  • Experience with conflict resolution tools and techniques
