The City of Penticton is looking to fill the position of Confidential Administrative Assistanton our Council and Executive Operations Team. Council and Executive Operations support the strategic and operational initiatives of Council and the Senior Leadership Team, including issues management, communications, organizational awareness, and partner and stakeholder relations.

The Confidential Administrative Assistant reports to Council and Executive Operations Manager, and also works directly with the CAO, Mayor, and Council. The Administrative Assistant will provide administrative support to the department.

Key Responsibilities:

  • Provide administrative support to the department, as required.
  • Receive and refer, inform or assist with a wide range of inquiries and concerns (written, telephone, and in-person) from community members.
  • Coordinate meeting schedules and calendars by prioritizing and arranging appointments, canceling and/or rescheduling meetings to ensure that the schedule is manageable.
  • Prepare and type correspondence, memoranda, confidential reports, and other documents.
  • Support the department on a variety of matters, including highly confidential, sensitive, or political matters.

Required Knowledge, Abilities & Skills:

  • Can-do attitude - able to meet challenges, handle pressure, and resolve problems while maintaining a positive and focused outlook.
  • Exceptional oral and written communication skills.
  • Comfortable interacting and working with senior-level positions.
  • Strong written and verbal communication skills.
  • Knowledge of event planning and coordination.
  • Valid Class 5 Driver’s License.
  • Able to work occasional evenings to provide administrative support during council meetings.

Preferred Education, Training & Experience:

  • Minimum of 3-5 years experience as a senior-level administrative professional in a similar environment.
  • Work experience as an Administrative Assistant or similar role.
  • Completion of an office administration diploma or other related designation.
  • An equivalent combination of education and experience may be considered.
