As the Business Support and Facilities Administration, you are responsible to support Water Treatment with daily business services and facilities administration. This role supports the Water Treatment leadership team and staff on a daily basis. You will provide an advanced level of accounting and administrative skills to support the efficient and successful operation and management of their assigned responsibilities. Primary duties include:
  • Support the Accounts Payable Workflow, including the production of requisitions, purchase orders, non-purchase orders and receipts; and the approval of vendor invoices.
  • Provide accurate Corporate credit card reconciliation and track invoice payments to ensure allocation between activity funds.
  • Run and distribute quarterly financial accruals for capital and operational invoices. Assist with capital and operating budgets.
  • Support Maintenance and Warehousing with stores inventory optimization. Develop and implement Process Improvement Initiatives. Support Asset Management system (Maximo).
  • Communicate and train Water Treatment manager, leaders, supervisors and foremen on Corporate policies and business unit processes. Act as the main corporate payroll contact.
  • Vendor Management, which includes contacts for janitorial, pest control, floor mats, landscaping, snow removal contracts set up and Request For Proposal (RFP) renewals.
  • Act as main point of contact with Corporate Security and manage site access including door keys, key boxes and City ID cards. Assistance with onboarding of Water Treatment staff.

Qualifications
  • A High school diploma and at least 4 years of related experience; OR
  • A completed 2 year diploma in business administration or business accounting and at least 1 year of related experience.
  • Advanced experience in Microsoft Office is required.
  • Experience using Accounts Payable (AP) Workflow plus creating and managing purchase orders is considered to be an asset.
  • Previous experience with Livelink, iRIMS, Asset Management system (Maximo) or Oracle Work & Asset Management (OWAM), and/ or asset management databases are also assets.
  • Demonstrated analytical and time management skills.
  • Proven customer service skills and the ability to work as part of a team.
