ABOUT US!

We are a Not-For-Profit Child-Care Centre offering care to 24 months to 12 years old. The Centre is based in North York open since 1985 located in a TDSB school serving the community with a strong sense of quality and dedication. We believe Children deserve the ABSOLUTE BEST!

WHAT WE ARE LOOKING FOR:

  • Assist with the coordination of orientation sessions and support the data collection of documents for new employee, student and volunteer files.
  • Maintain an accurate and up to date list of qualified child care casual staff. Support the child care centre in booking casual staff as needed.
  • Ongoing database management ensuring accurate and complete data and file maintenance for all employee data including, but not limited to: data collection, data entry, generate recurring and special reports, and follow-up of missing or incomplete data.
  • Support the implementation of new systems and processes to improve the efficiency of the department operations.
  • Maintain an accurate system for tracking vulnerable persons criminal reference checks and annual declaration of offenses.
  • Coordinate meetings and/or appointments as needed and undertake meeting preparations and minute taking.
  • Maintain documentation & filing of Health & Safety Policy and other administration duties as required
  • Assist updates on social media and marketing materials and program outreach
  • Provide support, create posters and materials for activities and events
  • Prepare auditing package for agency’s upcoming accreditation process
  • Attend meetings as needed, takes minutes and circulates minutes
  • Photocopy, scan and upload documentation, send and receive fax or email as requested
  • Perform any other related duties as requested
  • Follow-up general telephone and email inquiries.
  • Other administrative tasks including, but not limited to, special projects.
  • Social media managing

  • Create google doc forms
  • run errands

  • Intermediate proficiency required in Microsoft Office in order to prepare formal correspondence, emails, and input departmental data into spreadsheets and databases and with content management systems (such as Cascade) in order to update websites
  • Familiarity with software applications used by FTCC preferred – e.g. PeopleSoft, Mustang Market, Cascade, social media platforms (such as Twitter)

Salary: $18-$25

Part-time hours based on the needs of the Centre (part-time position)

Candidates will only be considered if the following requirements are met:

  • College diploma/certificate or an equivalent combination of education/experience in office administration and/or Human Resources
  • 1-2 years related administrative and database management experience
  • Experience using an HRIS or payroll system (i.e. ADP or Ceridian) is an asset.
  • Proven intermediate skills utilizing Microsoft Office Suite.
  • Excellent interpersonal, written and verbal communication and listening skills
  • Strong organizational capabilities to manage multiple projects with the ability to multi task and prioritize effectively.
  • Demonstrates a high degree of initiative and problem solving with keen attention to detail.
  • Demonstrated ability to build and maintain effective work partnerships with colleagues of diverse backgrounds, abilities and identities.
  • Ability to apply sound judgment to a variety of situations demonstrating tact and diplomacy
  • Able to work independently and within a team environment
  • Acceptable Vulnerable Sector Police Reference Check
  • Proof of full vaccination against COVID-19
  • Car an asset

Job Type: Part-time
Part-time hours: 15-40 per week

Salary: $18.00-$25.00 per hour
