POSITION:

Reporting to the SVP, Real Estate Management, the Vice President, Real Estate Management is responsible for leading the eastern region’s property management operations team and delivering tangible service results to tenant/customers, clients and other stakeholders. The candidate will establish the overall direction of property management services for the portfolio including clearly defined goals and accountabilities, financial analysis and reporting, service benchmarking and short- and long-range planning while always being aligned with corporate goals and targets.

RESPONSIBILITIES:
Operations and Financial Management

  • Accountable for the overall real estate management practice in Ontario
  • Ensure leading-edge policies, procedures and best practices are in place for all aspects of the portfolio including building operations, tenant relations, construction services, security/life safety, repairs and maintenance, environmental compliance, procurement etc.
  • Ensure, through the management of property managers and operations staff, that building systems (HVAC, Life Safety etc.) at all properties are properly maintained to the highest standards to provide tenants with the services they require
  • Develop relationships with senior management of all tenants and meet with them individually on a regular basis to understand their business and needs, effectively deal with issues, support retention and identify opportunities to enhance EPIC’s service offering.
  • Respond to (directly or through managers) and resolve complex tenant issues (e.g. rent disputes, late payments, tenant complaints} following established policies and precedents in order to maintain positive tenant relationships

  • Develop and manage operating and capital budgets and ensure the timely implementation of approved programs
  • Oversee all capital improvement projects, including major repairs, replacements, and tenant build outs.
  • Oversee all financial aspects of each property including income and expenses, forecasting and budgeting
  • Oversee the review of monthly financial reports and reporting books and meet with owner/clients monthly.
  • Ensure collaborative, respectful working relationships between property management and accounting staff to ensure roles are clear, that accurate information is provided and prepared on a timely basis, teams are working to consistent goals, and deadlines are met
  • Oversee the development, implementation, and ongoing management of programs such as sustainability, energy management and environmental programs.
  • Oversee the REM team through the procurement of third-party services and contracts (facilities/security contractors, cleaners, etc.), integrate their services, effectively to ensure service targets are met or exceeded and manage contract compliance
  • Participate in the development and implementation of standardized operating procedures across the country to ensure consistent operational excellence for all EPIC properties
  • Develop and foster relationships with key clients, industry and trade associations, government representatives, public service organizations, customer groups and vendors as necessary in the overall management of the portfolio.
  • Ensure compliance with risk management, insurance, and safety standards
  • Ensure that property management staff understand and comply with corporate policies and procedures
  • Support and assist in Business Development for new client, new assets, and other real estate management pitch / response to RFP.

Leadership and Personnel Management

  • Review and determine proper staffing levels for each of the properties
  • Lead and manage a team of General Managers and Property Managers by providing the guidance to ensure unparalleled levels of customer service for Tenants and Client/Owners.
  • Provide the property management team with the inspiration and motivation to attain all company and personal goals.
  • Develop objectives and measurements for the property management team, track performance against objectives, and use the information to measure staff performance, and make recommendations for improvement, systems modifications/implementations
  • Conduct annual performance review evaluations

  • Recommend and co-ordinate ongoing training and education to enhance skills development
  • Ensure compliance with all employment regulatory bodies

Leasing and Leasing Management: * Accountable for all leasing strategy and execution for Ontario assets with the leasing team * Direct mentoring with respect to leasing and marketing strategies

  • Work collaboratively with the Leasing Team to maintain relationships with the brokerage community * Helping to establish productive and professional relationships within the various brokerage communities * Facilitate excellent communication across the sales team and other departments through regular and effective team meetings * Effectively negotiate and close deals with large or strategically important tenant/customers * Monitoring and analyzing leasing performance results * Assist in the select negotiations to ensure maximum asset value is being achieved * Drive development of the Epic’s leasing vision, including creation of targeted marketing programs specific to each property within the Epic portfolio * Engage, interact with and manage third party licensed brokers/brokerages on property listings for assets to facilitate leasing, including coordinating and managing property tours by prospective tenants * Advise on space preparation, condition, terms and recommendations for space and leases as required * Collaborate with property management team to ensure timely execution of tenant improvement work and key deliverable dates, and provide recommendations for vacant suite improvements * Customer relationship management including oversight of team preparing and entering leasing prospects into VTS for consideration and evaluation * Perform financial evaluation of tenant financial health and make recommendations to Epic real estate management team * Negotiate, as needed, non-binding letters of intent and offers to lease, using budget guidance and feedback from real estate management team, and present recommendations and offers to lease for property owner consideration and approval * Coordinate marketing and special events with real estate management and third-party listing brokerages * Provide recommendations to real estate management for leasing budgets and campaigns * Oversee preparation, review and negotiation of proposals, offers to lease, lease agreements, lease recommendations * Amendments and other documents relating to existing and prospective tenants, and prepare lease recommendation reports for approval by Epic senior management, property owners and/or asset management entities, as required

  • Prepare accurate and timely leasing activity reports, property management status reports, quarterly reports, market reports, and other inputs to budgets and budget reforecasts, and other internal reporting as required * Any such other related services and responsibilities as may be reasonably requested by Epic from time to time.
