Who You Are:
- You’re experience could range from from uploading listings, to handling deal transactions, branding and marketing, to working with stagers to coordinating marketing campaigns.
- You have worked in a real estate office environment or have experience as a Administrative Assistant, Office Manager, Deal Administrator, Listings Coordinator, Marketing Manager, Field Coordinator, Receptionist, etc.
- You are able to efficiently adapt and learn quickly and can work in fast-paced environments under pressure.
- You have strong data entry skills, excellent attention to detail, superb ability to multitask and advanced knowledge of MS Office.
- Bonus Experience: Salesforce, Adobe Creative Cloud, Canva, MLS, Skyslope, Broker Bay
- You are committed to delivering exceptional client experiences, and are someone who communicates with ease, professionally and effectively with clients and coworkers alike.
- You are an organizational genius who ideates solutions to elevate the team and offices operations.
What you can expect to work on:
- Preparing and sending schedules, reports, and letters
- Preparing agreements, amendments and other documents for acknowledgment via DocuSign
- Maintaining a robust CRM facilitated through Salesforce
- Maintaining all opportunity files, correspondence and scheduling
- Drafting MLS Listings, coordinating all pre-listing preparation services
- Executing Marketing Campaigns, both direct mail and email
- Answering calls and responding emails; directing and triaging all appropriately
- Corresponding with external cooperating agents, brokerages and legal teams
- Coordinating communication within internal team: Agents, Deal admins, Accounting, and Reception.
- Support Managers and Accounting regarding trades and agents’ request
- Coordinate, distribute and file all transaction documentation, in Skyslope and Salesforce (performing regular follow up confirmations of closing).
- Research projects as assigned.
- Other duties as assigned by Management
- Calendar management
- Upload listings onto the Toronto Real Estate Board’s MLS
- Ensure complete digital records are maintained for all listings and transactions
- General office administration and tasks as required
