Position Summary

The Property Portfolio Assistant will provide administrative support to the Portfolio Manager to ensure smooth operations across their properties. This role will organize and maintain important documentation while interacting with residents and contractors. This role further requires the Property Portfolio Assistant to be an effective time manager, possess a keen attention to detail, and communicate in a professional manner. Other duties, relevant to the position, will be assigned as necessary by the Portfolio Manager.

Essential Duties and Responsibilities:

  • Administer rent collection activities including monitoring tenant balances, delivering relevant notices and customer follow-ups.
  • Coordinate tenant move-in and move-outs.
  • Communicate information with residents and contractors in HomeEd properties.
  • Assist in resolving resident questions and concerns.
  • Maintain and organize confidential electronic and physical files.
  • Support property management leasing strategies.
  • Maintain effective working relationships with all staff and stakeholders.
  • Coordinate and conduct meetings and events to ensure proficient operation and promotion of all HomeEd properties.
  • Remain current with industry best practices and legislative requirements, while executing on HomeEd policies, processes and procedures.
  • Other duties, relevant to the position, shall be assigned as required.

Education and Experience:

  • Post-secondary credential in a related field.
  • Experience in an administrative role, preferably in the real estate or property management field.
  • Experience and understanding of customer relations and vendor management. Understanding of the Residential Tenancy Act is strongly preferred.
  • Experience and understanding of information systems, including Google Workspace products (Gmail, Drive, Docs, Sheets, etc). Proficiency with Yardi Breeze is strongly preferred.
  • An equivalent combination of training, education and experience that would provide the required knowledge and abilities may be considered.
  • A valid driver’s license and access to a vehicle with business-use insurance
  • Successful applicants will be required to submit a satisfactory Vulnerable Sector Police Information Check.
