Job Description

Reporting to the Operations Manager, the Office Administrator will offering support to the Operations, Purchasing, Finance, Quality, and Dispatch teams and completing tasks as assigned in their administrative functions, including developing and managing databases, coordinating the receipts and tracking of departmental wide submissions, managing e-mail inquires, and scheduling requirements.

Specific Responsibilities and Accountabilities

  • Ability to understand and work efficiently within our ERP software (currently Titan)
  • Provide accurate monthly reconciliation reports across all projects and product lines.
  • Provide general office support (e.g., file management, scanning, photocopying, mailing, organizing and distribution sensitive documentation, maintenance of office supplies, etc.)
  • Organize and maintain soft and hard copies of project and corporate files.
  • Respond independently to basic client enquiries and escalate complex client enquiries to appropriate parties based on knowledge of the situation and our organization.
  • Flexibility to work outside core hours to maintain project tasks as required.
  • Respond to email, telephone, and in person inquiries in a professional and appropriate manner. Ensure appropriate screening for the type of inquiry.
  • Conduct oneself in a manner consistent with the professionalism and demeanor associated with the best practices of customer service.
  • Provide general office support and complete tasks as assigned.
  • Assist with organization of meetings, events, etc.
  • Handle sensitive information in a confidential manner. Exhibit the highest degree of honesty and professionalism.
  • The candidate will support a workplace that embraces diversity, encourages teamwork, and complies with all applicable and regulatory requirements.

Educational Requirements

  • Post-secondary education
  • Minimum 2 years of experience in an office administrative role, ideally in a construction or manufacturing environment.

Competencies

  • Knowledge and understanding of Titan ERP System (or similar) is considered an asset.
  • Must be intuitive within a highly dynamic workplace environment.
  • Proficient in Microsoft Office.
  • Strong organizational and planning skills with prioritizing and multi-tasking abilities.
  • Excellent oral and written communication skills.
  • Self-starter attitude with an ability to work in an environment without constant guidance and direction.
  • Excellent attention to detail and organizational skills.
  • Enjoys a fast pace environment and is highly professional.

Working Conditions

  • Normal office environment with regular visits to the Production Facilities
  • Industrial environment requires safety boots and Personal Protective Equipment.
  • Hours of work outside of the normal workday may be required.
