Our Toronto team are looking for a Front Desk Receptionist based out of our office in Toronto to join us in February 2022.

Reporting to the Office Lead, the Front Desk Receptionist requires exceptional professional and communication skills, excellent organizational and most importantly, the ability to prioritize and multi-task under pressure in a fast-paced environment.

Your Day to Day*

Front Desk (60%)

  • Meeting and greeting clients.
  • Answering general switchboard inquiries, screening and directing calls as necessary.
  • Managing incoming and outgoing mail including scheduling couriers.
  • Respond to vendor, client and internal emails as required.
  • Monitoring stationery, coffee, tea and supplies.
  • Organizing meetings and video conference calls.
  • Ensure reception and boardrooms are tidy at all times.
  • Organize team and/or client lunches in the office.
  • Ensure the garbage is scheduled for pick up.
  • Clear any snow or place salt at the front steps of the entrance way in the winter season.

Office Administrative Support (40%)

  • Provide administrative support to Technical and Supporting team and take direction and instruction on national administration mandates and best practices.
  • Support all staff with database entry, data management, formatting documents, and undertake research.
  • Organize and lead staff and client events.

What You’ll Need to Succeed

  • A college diploma or equivalent.
  • Ability to type at 60 wpm.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), and Adobe Acrobat.
  • Proven ability to meet multiple and/or unexpected deadlines in an environment that can sometimes be demanding.
  • Possesses strong organizational skills that reflect the ability to perform, and take ownership of the position, as well as to prioritize multiple tasks seamlessly with excellent attention to detail.
  • Ability to provide stability across multiple teams.
  • Adept at building relationships both internally and externally to leverage resources when needed.
  • Sound judgement regarding confidential and sensitive matters.
  • Strong communication skills.
  • Excellent writing, editing, grammatical, organizational, and research skills.
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff and clients.
  • Excellent time-management and problem-solving skills.
