The Job

We are currently on the hunt for a Client Services & Logistics Specialist to support the sales team and executive director ensure that we are executing memorable events. Working alongside a small but mighty highly-engaged + passionate Sales Team, this individual will make waves by utilizing their highly organized nature to handle communications between the team, prepare and organize files for upcoming events and support the clients throughout their booking experience with Pure Lush Designs and Co.

Job description:

The Client Services & Logistics Specialist will be part of a team to execute luxury events for our clients while growing the Pure Lush Designs and Co brand as a whole, to ensure it is regarded amongst the top designer groups in Toronto and beyond. The ideal candidate thrives in a fast paced work environment; is highly organized and detail oriented to ensure our client files are completed and events are executed in a productive and organized manner. The Client services and logistics specialists is the first person a prospect client speaks with on the phone is greeted by upon arrival so if you don’t like people this job is not for you. This role is responsible to ensure a above average client experience is upheld by welcoming clients and visitors, ensuring they are taken care of and that our space is always ready to welcome and create a lasting first impression.

The ideal candidate must have a flexible schedule to meet the demands of the business and will preferably have reliable transportation to meet the needs of the unusual hours of the vents industry.

  • Respond to client inquiries providing basic information ‬
  • Maintain the office team calendars and act as PA for Executive Director
  • Sending payment reminders to clients according to company SOP
  • Ensuring client files are up to date with necessary documentation and ready for event execution.
  • Coordinate logistics for each event i.e packing lists, design sketches, worksheets etc. to ensure smooth execution by our design/set up team
  • Actively assist in acquiring new business by posting ads on social media and other online resources as per company guidelines
  • Create and post social media marketing campaigns on various outlets and free media channels.
  • Maintain our social media accounts i.e Instagram, FB and Twitter by responding to DM’s in a timely manner
  • Greet and welcome clients into the waiting area offering beverages and a warm welcoming atmosphere.
  • Assist Sales team when Required to keep workflow running
  • Inventory and stock count as required.
  • Prepare items for events including pulling stock, packing and loading/unloading trailer.
  • Cross training and performing duties of other positions in high demand times
  • Solicit business and represent company at tradeshows.
  • Prepare items for outgoing rentals and incoming returns as necessary by checking rental forms and ensuring stock is ready for pick up and payment is processed.
  • Responsible for ensuring the warehouse is kept neat and tidy at all times
  • Create continued efficiency by creating excel spreadsheets and other forms as necessary to make life smooth
  • Keep office and welcome area neat, tidy and clean at all times, mop if you need to, windex front doors when not busy. Check washrooms daily to ensure they are stocked and smelling fresh.
  • Other administrative duties such as filing, organizing etc.
  • 1-2 years Office Amin experience‬‬ Experience
  • Strong interpersonal and problem-solving abilities
  • Extremely organized
  • Have basic common sense
  • Highly responsible & reliable
  • Self-directed and disciplined
  • Ability to work in a team environment as well as independently
  • Must have strong business development and organizational skills
  • Excellent time management skills, able to work in a constantly fast-paced environment and demonstrated work flexibility
  • Can work under pressure with tight timelines
  • Excellent command of the English language, written and spoken
  • Must be available to work weekends, holidays and some late nights AS THIS IS THE EVENTS INDUSTRY IT’S NOT A 9-5!
  • Must be able to commute to Mississauga ( Tomken and Timberlea) with flexibility in hours
