Aon Is Looking for an Administrative Assistant
Aon is looking for a client facing Administrative Assistant to provide professional, sophisticated and confidential support to a senior leadership team and its billable clients and wider team as appropriate.
It is imperative that the individual is a great teammate, demonstrates flexibility and willingness to complete tasks as the need arises, can operate independently, handle time and deliverables to meet deadlines, think critically and take initiative as appropriate. Job Responsibilities:
Coordinates complex meeting logistics on or off‑site; may include, but not limited to, budgeting, travel, room reservations, meeting room logistics and materials, and catering
Prepares and produces presentations and correspondence and related materials, including editing for grammar, punctuation, and clarity Assist in the development and improvement of administrative procedures and processes Provide general leadership support on an as-needed basis Own the purchase order requisition process at the vendor and budget levels Attend senior level meeting to coordinate the agenda, materials and to take notes Provide support for compliance, budgeting, forecasting, client invoicing and ongoing reporting as the need arises Handle special projects independently and with knowledge of the budget; Assist the Administration Operations Manager (AOM) or business leader(s) with special projects as the need arises Client-facing responsibilities
Attending approximately 25 meetings per year with client pension boards and accurately recording meeting minutes
Drafting agendas and assembling materials for pension board meetings
Monitoring, distributing and filing email and paper correspondence related to pension boards
Coordinating and supervising payment of invoices related to pension boards
Handling materials and documents within online portal
Coordinating pension board meetings, including booking meeting rooms, arranging catering, room preparation and cleanup, etc. Invoicing assistance and financial duties
Download monthly time reports and develop summaries and/or invoice supplements for review by account managers
Track and update business opportunities, sales and client contact information via internal database
Coordinate invoicing and financial management between local account managers and offshore finance team
Provides financial support of budgeting and procurement as required by the business supported
Maintains files, databases, and/or SharePoint sites as appropriate You Bring Knowledge and Expertise

Required Experience:
Minimum of 3 years of proven experience
Advanced‑level digital literacy in Microsoft Office Suite and other programs as applicable Education:
High school diploma or equivalent; Associate or Bachelor degree a plus
