OVERALL ROLE

The Receptionist will provide a welcoming approach to all Diageo employees, visitors and incoming phone calls while efficiently managing reception and administration responsibilities areas to accommodate client needs. Various duties to include verifying identity, checking in and out any visitors and referring / escorting visitors to reception or meeting areas. The receptionist will be responsible for answering incoming calls, directing calls, as well as general office support with a variety of clerical tasks. Reports to the Facilities Manager/Lead.

Essential Duties and Responsibilities:
Enthusiastically welcome visitors and employees, anticipate their needs, assist with arrival, a office orientation, and departure.
Take initiative to proactively address needs and answer questions.
Share your personal passions and knowledge of the office services, spaces, and amenities available to guests and help them feel welcomed and productive.
Collaborate with team members to communicate trends in guest services and develop best practices and streamlined processes that respond to guests’ needs.
Enjoy multi-tasking at a fast pace while having an impeccable eye for detail to ensure accuracy and efficiency.
Demonstrate confidence, professionalism, responsiveness, and exceptional customer service skills
Answer all in-coming calls
Point of contact for all packages/deliveries
Update phone lists
Order and organize all kitchen and office supplies
Assist in resolving problems associated with all building services including janitorial, mailroom, copier services, parking, badging, and conference rooms.
Assists with the coordination and scheduling of office/building maintenance activities

Critical Competencies for Success:
Experience:
High school diploma or general education degree (GED); or at least two years related experience and/or training; or equivalent combination of education and experience. Hospitality industry experience preferred.

Flexibility:
We look for flexibility and positive attitude in managing shifting daily priorities and high volume of guests.

People Person:
The best part of serving others is creating experiences for them that go beyond the expected.

Excellent Communicator:
Providing amazing experiences requires the ability to communicate professionally and passionately. Fluency in English and the local language is required. Speaks clearly & articulately with active listening skills

Strong organizational skills; able to manage multiple priorities.
Works well with others with strong interpersonal skills.
Flexible & adaptable; able to work independently and in a team environment.

Multi-tasker:
Knows how to multi-task while ensuring consistent and elevated guest experiences and accuracy.

Technology and Tools:
Proficient in a range of information technology tools and platforms. Ability to use Word, Outlook and Excel to prepare documents and communicate with others. Able to use calendar / scheduling feature in Outlook and able to use a phone / switchboard.

Minimal Physical Activity:
Ability to perform minimal physical activity such as carrying small packages.
