The role:

The administrative assistant, under the direction of the Hospitality Manager will assist with the weekend and after-hours operations of the short-term rental division of Thorwin Properties with a goal to provide customer satisfaction and maximize the obtainable revenue. Upon successful completion of 3-month probationary period, there will be a wage increase review.

Essential Functions (Duties include but not limited to):

Creation of Short-Term Rental apartment homes

  • Assist with arrangements relating to the delivery and set up of all required items to furnish the STR apartment home.
  • Assist in the purchase of small accessory and amenity items for STR apartment homes as needed
  • Arrange lock change for keyless entry system.
  • Assist with the creation and delivery of welcome package for each STR apartment home
  • Program keyless door entry codes for guests at each community

General Clerical Duties

  • Photocopying, scanning, faxing, mail distribution and filing.
  • Organizing and saving documents to shared sites
  • Scheduling appointments and meetings for the STR team
  • Attending and recording meeting minutes for the team meetings
  • Ensuring the STR reports are accurate on a weekly and a monthly basis

Document Creation

  • Creating and formatting forms and templates
  • Creating memos, letters and reminders to guests.
  • Prepare and send invoices, reports and other relevant document top Finance department when required.

Data Entry

  • Entering guest notes and new unit data into Guesty Property Management System
  • updating of the VACATES report and ensuring that the vacancy loss is accurately tracked
  • Complete and send, meeting minutes, updated schedules and other relevant documents to the Short-Term Rental Team
  • Maintaining the keyless lock system

· Other duties as assigned

Accountability

  • Attend, be prepared for and participate in all meetings
  • Accurately complete all necessary documentation (electronic and paper based) associated with the position in a timely manner
  • Uphold the Company Mission, Vision and Value statement
  • Ensure all STR apartment homes are turned over to new guests meet the standards of Thorwin Properties in cleanliness and repair.
  • Report daily regarding issues related to the STR portfolio to the Hospitality Manager
  • Attend, be prepared for and participate in all weekly meetings.
  • Accurately complete all necessary documentation (electronic and paper based) associated with the position in a timely manner.
  • Uphold the Mission, Vision and Value statement of Thorwin Properties.
  • Maintain a professional and courteous manner with residents, visitors, contractors, and fellow employees.
  • Ensure that all amenities and cleaning supplies inventory does not fall below the STR guideline for the item
  • Other duties as assigned

Qualifications:

Experience:

  • 1-2 years hospitality or property management experience
  • Airbnb or Short-term rental experience an asset

Knowledge, skills, and abilities:

  • Must have the ability to follow oral and written instructions and be able to maintain effective and cooperative working relationships.
  • Must be organized and pay attention to detail.
  • Ability to work independently and manage time effectively.
  • Be able to use a mobile internet device or smartphone for texting and emailing.
  • Must possess general understanding of WORD, EXCEL, OUTLOOK
  • Must be physically able to climb stairs.
  • Post-secondary education in Business administration, related field, or equivalent experience

Other

  • Valid Driver’s License and vehicle required.
  • Be available to deal with guest inquiries and issues evenings and weekends.
