The Cam Clark Auto Group is seeking a Warranty Administrator for our Kamloops Kia location.

In the position of Warranty Administrator reporting to the Service Manager, the successful candidate will be responsible for greeting our customers and assisting them with their vehicle needs.

You will be accountable for:

  • Warranty submission, tracking and follow up for payment to Kia Canada, ASSI tracking, booking service appointments, service support.
  • Cash out for service and sales.
  • Accounts receivable – sending out monthly statements, receipting payments, reconciling accounts.
  • In-depth knowledge on warranty company policies and procedures, and updates changes whenever needed and identifies exceptional cases that may lead to special agreements with the manufacturer, completes required documents, and follows up.
  • Has a keen eye to details in reviewing claims exceeding manufacturer’s time frames, process and authorize transit claims, and track warranty parts.
  • Processing warranty claims promptly, reviewing and adjusting returns, and tracking each claim until its final resolution.
  • Monitors the use of special warranty programs for diagnosis time and straight-time repairs, and distributes campaigns, product recalls, and bulletins daily via the dealer/manufacturer communications portal.
  • Manage booking of technicians based on the vehicle’s service history, and adjustments are communicated to department management.
  • Prepares and maintains an accurate record of all claim’s submission, returned, rejected, or paid and send the report to the Service Manager on a regular basis.
  • Timely closing of repair orders daily, refunds customers, and ensures all aspects of the warranty process are fulfilled within audit requirements.
  • Assists the Service manager in processing the weekly stock orders, supports in ordering, stocking, and recording of ordered parts and inform concern parties when orders are received.
  • Assist parts clerks in processing customers, checks, insurance, and credit card matters.
  • Manage proper documentation of inventory records, matching and filing of invoices, timely endorsement of invoices to accounting department, updating of electronic parts files, keep the parts pricelist up-to-date, compile stock and ensure credit is granted for returned parts.
  • Compiles stock control reports to obtain an accurate summary of reserve supplies and determine re-procurement needs and participate in preparing annual parts inventory, parts return.
  • Attends to CRM duties such as follow up, special order parts bookings, promotions and survey reminders.
  • Handles and manages administrative task within the Parts and Service Department
  • Performs other duties that may be assigned.

To be successful in this role, you must have:

  • Previous experience in a dealership is a must.
  • A valid driver’s license and clean driver’s abstract.
  • Attention to detail, prioritization skills, and time management.
  • Computer proficiency skills.
  • Experience with PBS is an asset.
  • Excellent verbal and written communication skills.
  • Excellent problem-solving skills and resourcefulness.
  • Ability to be flexible with changing priorities and adjust attention to higher priority projects and/or deadlines.
