Reporting to the Director of Student Services, Co-op & Engineering Career Connections, the Student Services Advisors provide superior student services to undergraduate Engineering students. Specific responsibilities are to administer the admission and transfer credit processes for domestic and international applications, provide academic advisement for undergraduate students, including first-year, evaluate academic standing and facilitate convocation procedures within the Faculty of Engineering. S/he is accountable for contributing to the effective delivery and maintenance of the specialized programs within the Faculty of Engineering and its four departments and provides comprehensive, individualized assistance and academic advising. Advisors must have a working knowledge of issues related to the Freedom of Information & Protection of Privacy Act (FOIPP) and accommodation of students with disabilities as well as a passion to work one-on-one with students. The advisors will work closely with more than 4800 undergraduate students to provide advice on program requirements, academic performance and timetable management.

Duties:

Student Advising and Program Management

  • Advises current and prospective students and staff about university and faculty policies and procedures regarding admission, registration, program planning, program completion, convocation including Iron Ring, course withdrawals, academic standing, grades, deferred exams and FOlPP; advising is conducted verbally and in writing (telephone, in-person and e-advising

  • Rotational advising at the Faculty of Engineering student services front counter (or virtual office) to provide in person frontline advising

  • Refers students with personal difficulties to the appropriate professional counsellors and/or agencies on campus

  • Advises newly admitted students on course selections and assists with registration

  • Maintains advanced credit, technical electives and compulsory studies information

  • Completes student prerequisite checks regularly

  • Exercises full signing authority to grant or deny deferred examination request, evaluating each case individually using established faculty policies and standards

  • Exercises full signing authority to admit or refuse applications for admission to the BSc Engineering program — 1st-year and 2nd year Program specific (CivE, CME, ECE and MEC E) for all domestic and international applicants: consults with department associate chairs regarding special cases and transfer credit approvals where appropriate

  • Monitors student progress to resolve timetabling conflicts, identifies course deficiencies and ensures students are aware of Program, Faculty and University requirements at all times

  • Maintains accurate records of student interaction, decisions made and actions taken

  • Applies established guidelines for course transfers and credits

  • Responds to external requests for student information from post-secondary, government and financial agencies while ensuring strict compliance to FOIPP legislation

Information Coordination

  • Coordinates and monitors program and course information published in the University of Alberta calendar to ensure accurate information and identifies and corrects errors

  • Evaluates Academic Standing for First-year students and for students in all Departments

  • Prepares list of candidates for Undergraduate awards and entrance scholarships

Convocation

  • Determines graduation eligibility and certifies degree completion for all undergraduate programs upon consultation and approval from each department associate chair

  • Expertly assesses credits from outside domestic and international institutions with recommendations for final approval from dept associate chairs

  • Advises students of course deficiencies and provides a program path to facilitate graduation

  • Processes accurate graduation lists for fall and spring Convocation and for APEGA Iron Ring Ceremony

  • Calculates Engineering Graduation Average, First Class and Distinction for inclusion on graduate lists

Qualifications

  • Minimum undergraduate degree

  • Three years related experience in a post-secondary institution required

  • Training/workshops in handling students at risk recommended

  • Superior customer service orientation, interpersonal skills, tact, initiative and a positive attitude

  • Excellent communication (oral and written), inter-cultural, organization and problem solving

  • Working knowledge of UofA academic policies and procedures would be an asset

  • Ability to manage and prioritize large volumes of work in the face of strict deadlines

  • Excellent computer experience including Microsoft Office applications

  • Experience with student administration system technology (PeopleSoft — Campus Solutions) required

  • Ability to work independently as well as part of a integrated team

  • Demonstrated ability to maintain confidentiality when working with highly sensitive Information

  • Experience working with electronic documents and records management office environment
