Job Description
Undergraduate Student Advising
  • Advises students at the undergraduate level on a wide variety of issues. Provides guidance and support regarding: personal situations (encourages students to seek counselling if necessary), academic performance, academic program & courses, student records, student affairs, admissions, registration, transfers, readmission, exchanges and general inquiries.
    • Advising may take place on a drop-in basis, in-person appointments, by phone and/or by email
  • Provides professional expertise and advice to faculty and departmental/school staff on a variety of issues including student and academic policies, procedures and services.
  • Guides Departmental advising staff in the interpretation of policies
  • Participates at the annual Departmental new student advising orientation session(s), as needed
  • Advises prospective students and families on admission requirements and programs offered
  • In collaboration with other advisors, participate in existing student recruitment/yield programs/projects/activities
  • Assists in the evaluation of degree completion for students who have applied to graduate (in tandem with all advisors)
  • Participates in the design and development of projects to enhance student advising services.
  • Manages advisor.engineering@mcgill.ca weekly rotation and participates in rotation with other advisors
Disciplinary Cases
  • Manages allegations submitted to Faculty by course instructors
  • With support from the Administrative Coordinator:
    • Responsible for discipline.engineering@mcgill.ca email account
    • Prepares and sends interview/summary hearing and disposition letters
    • Enters NA and final grades on students’ transcripts
    • Prepares documentation for disciplinary cases for Disciplinary Officers
    • Sets up meetings between disciplinary officers and students
  • Liaises with Dean of Students Office as necessary
  • Liaises with other Faculties as necessary (especially Science, for courses that have Science and ENG students)
  • Acts as a resource person for the Associate Dean (Student Affairs) and Disciplinary Officers, as well as students
  • Maintains statistics on disciplinary cases and reports these to the Associate Dean (Student Affairs)
Scholarships, Fellowships, and Awards Administration
  • Oversees Student Award Assignments at the Graduate and Undergraduate levels:
  • Undergraduate: oversight of scholarship forecasting process (in tandem with Scholarships Manager)
  • Graduate:
    • Oversees nomination, selection, offer, acceptance, and documentation for all Faculty funding programs in tandem with Student Affairs Advisor – Graduate Education, and
      • Responsible for assigning fellowships to students based on eligibility of student and criteria set out by each fellowship, as determined by the MOA
      • Supervises Graduate Education Manager and Coordinator
  • Monitors scholarship and fellowship funds, including requests for carry-overs, income capitalization/de-capitalization, fund transfers, etc.
  • Familiar with terms of Faculty MOAs and MOUs; oversees the assignment of fellowships according to MOAs; manages spreadsheets to track various award packages
  • Participates in the calculation of Departmental/School Fellowship allocations (GRAD), in conjunction with Associate Director. Manages and oversees fellowship budget forecasting & projections, in conjunction with the Faculty Finance office.
  • Liaises with UA Engineering regarding new and continuing gifts for scholarships and fellowships
Supervision
  • Supervises 5 MESC staff members; three SAO Student Affairs Administrators (Graduate Education, Strategic Recruitment, Exchanges/SURE) and 2 SAO Coordinators (Graduate Education and Student Affairs Coordinator-Academic).
  • Bi-weekly meetings; supervises work; provides coaching; participates in performance dialogue review.
  • Provides training (SAO knowledge base) for new staff and ongoing support for front counter and advising questions.
  • Approves and signs registration letters (prepared by Student Affairs Coordinator – Academic) (Back-up)
  • Provides support for Exchanges/Transfer Credits Advisor as needed.
  • Provides additional support for CGEC and SURE events as needed.
Special Projects & Duties as Assigned
  • Assists in the coordination of new and special projects that support the direction of the unit (Discover McGill, Open House, Recruitment Events, Donor Visits, Yield Recruitment activities, Workshops, Seminars, Volunteer Events, Client Network activities, Photo contest, etc.)
