Responsibilities

Reporting to the Health Services Manager, or designate, the Staffing Clerk is responsible for the scheduling for the Medical/Emergency Department/Procedure Units and for providing support to the Telehealth functions on site at Queens General Hospital. Responsibilities include providing pleasant, cooperative and timely scheduling service by contacting staff for replacement shifts; scheduling and matching staff resources with patient workload and operational requirements; accurately coding SAP time entry for staff consistent with the applicable collective agreements; organizing and maintaining related filing systems, creating and maintaining data bases and statistics, preparing reports and general clerical responsibilities such as photocopying, faxing, e-mailing and typing correspondence, memos and letters. The position also requires the employee to have technical skills regarding the setup of the Telehealth equipment and the ability to move it to other sites within the facility, flexing hours to meet the needs of Patients/Clients from the community taking part in education or assessment session with medical professionals located elsewhere in the province at various times of the day. Some evening hours are required. Excellent communication skills are important while dealing with the general public.

Qualifications
  • Provides scheduling and administrative support by performing duties, including, but not limited to the following:
  • scheduling and matching staff resources with patient workload and operational requirements;
  • scheduling and matching staff resources with patient workload and operational requirements;
  • coding SAP time entry for staff;
  • compiling, posting and maintaining current and future schedules for staff working on the applicable units (shifts of varying lengths), with consideration to conditions outlined within the applicable Collective Agreements, i.e., the Nova Scotia Nurses Union (NSNU), the Canadian Union of Public Employees (CUPE Healthcare), the Nova Scotia Government Employees Union (NSGEU Administrative Professional), and with consideration to operational requirements of individual units;
  • performs general office duties such as keyboarding, photocopying nd general record keeping;
  • developing databases and generating applicable reports;
  • collecting and compiling statistics and other relevant data;
  • maintaining related filing systems for reports and applicable correspondence;
  • evaluating systems/process and providing recommendations for change;
  • compiles, prints and distributes monthly OR schedule
  • Provides assistance with Telehealth duties, including, but not limited to the following: booking of patient’s rooms, education sessions, using on-line VC Scheduler, which involves some after-hour sessions.
  • Actively participates in providing input into the development and evaluation of the Service.
  • Promotes and maintains positive working relationships and communications within and outside the facilities, with other healthcare personnel and associates of the organization.
  • Promotes the mission of quality health care by performing any other related tasks and duties that may be assigned or required in order to maintain proficient workflows.
  • Participates in a team approach to health care by supporting the Unit(s) and by attending meetings, in-services and other training programs related to the departments and the hospital.
  • Maintains and promotes health and safety standards and procedures according to the organization’s guidelines and patient care standards to a level consistent with recognized national and provincial standards, including ethical guidelines.
  • Complies with the Continuous Quality Improvement Program as required.
  • Holds in confidence all matters pertaining to staff, residents, patients, clients and their families and information relating to the business of the organization.
