The Successful Candidate Will Have a Minimum 5 Years’ Administrative Experience In An Office Environment And Will

Based in our Richmond Hill office, this role provides senior administrative support to our engineering teams across Canada.
  • Use MSWord Styles to format and edit technical reports, and create forms
  • Schedule meetings for team members in different time zones, checking Outlook calendar availability
  • Create PowerPoint presentations for senior management using branded templates
  • Manage multiple SharePoint sites including membership, creating and uploading content, filing structure
  • Use OneDrive folders to manage personal files, share content
  • Host meetings, create polls, manage break-out rooms, and run reports in Cisco Webex
  • Use Cisco Jabber for instant messaging communications
  • Create surveys and run reports using Survey Monkey
  • Combine and edit pdf documents using Bluebeam or Adobe
  • Communicate corporate events and activities using social media platforms
  • Prepare complex checklist for internal quality audits
  • Manage contract administration process
  • Take minutes at team meetings
  • Provide backup administrative / reception duties as needed
Critical to the success of this role will be your ability to proofread and edit documents for grammar, spelling, and punctuation. Previous experience with corporate event planning including venue and entertainment selection, catering, floor plan, and seating arrangements is an asset. Knowledge of Accessibility for Ontarians with Disability Act (AODA) guidelines and formatting is also an asset.

Required Qualifications
  • Minimum 5 years of administrative experience in an office environment
  • High attention to detail and deadlines
  • High proficiency with Microsoft Office Suite, specifically Word, Outlook, PowerPoint, and SharePoint
  • Self-starter with an ability to work with and take direction from multiple levels of professional staff
  • Ability to work under pressure in a team environment with strong attention to detail and ability to work independently
  • A can-do attitude and commitment to being an active participant of our employee-owned culture is a must
  • Proficient in AODA formatting preferred
  • Bachelor’s degree preferred
