RESIDENTIAL ADMINISTRATIVE ASSISTANT JOB SUMMARY

The Residential Administrative Assistant will respond to various requests from staff throughout the organization, including but not limited to, Office Manager, Human Resources, Intake Manager, Senior Manager of Service Enhancement, Senior Residential Clinical Support Case Managers, Residential Clinical Support Case Managers and Director of Residential Services in order to ensure the efficient day-to-day operations of the Residential Division.

The Residential Administrative Assistant will ensure that all functions adhere to existing organizational policy (ex/ financial policies).

ESSENTIAL REQUIREMENTS

  • Cover letter and updated resume
  • 18 years of age or older
  • Clear Criminal Record Check with Vulnerable Sector Check, Adult Abuse Registry Check and Child Abuse Registry Check (no older than three months)
  • Minimum two years related work experience
  • Valid First Aid/CPR
  • Drivers license with access to a reliable vehicle
  • Completion of a Post-Secondary Education in Human Services (Certificate, Diploma or Degree) is considered an asset
  • Three employment references

SUMMARY OF JOB DUTIES AND RESPONSIBILITIES

New staff orientation:

  • New hire requirements

Housing/Properties:

  • Actively participate in the process of securing and opening new Residential housing

-Walkthroughs

-Inspections

-Service Installation

-Purchases

-Home/Office setups

  • Maintain existing housing agreements

-Complete tasks as assigned by the Residential Administrative Coordinator

  • Maintain building/fire code/public health

-Maintain a comprehensive awareness of all Building Code, Fire Code or Public Health measures which impact the Residential Division

  • Utilities

-Conduct meter readings when necessary and report to RAC.

  • Repair and Maintenance of properties

-Maintain a comprehensive awareness of all Residential locations and their repair and maintenance needs.

Licensing:

  • Maintain a comprehensive awareness of all Residential locations which are licensed, ensure that all regions maintain licensing practices throughout the year, and proactively prepare for licensing at least 3 months prior to license expiry.

-Annual Inspection Checklist

Turning Leaf Residential Vehicles:

  • Maintain a comprehensive awareness of all Residential locations and their vehicle needs

-General responsibilities with maintenance of authorized drivers list

-Completing monthly review

  • New vehicle preparation
  • Vehicle maintenance

Administrative Functions:

  • Serve as a main point of contact for completing administrative responsibilities that promote the smooth operation of the Residential Program

Additional tasks as assigned
