We are looking for an experienced, proactive and multi-tasking administrative assistant who is highly motivated.

The person in this position will be responsible to represent the company and be the first point of contact for all clients visiting the office. We are looking for a person who is a problem solver and quick on their feet.

Key responsibilities of this position include but are not limited:

  • Overseeing all communications, including emails and phone calls when required.
  • Scheduling meetings and managing executive calendars.
  • Filing and organizing all important documents physically and electronically such as reports, statements, employee contracts etc.
  • Responsible for all office supplies inventories, purchasing and restocking as needed ensuring smooth day to day business operations.
  • Maintaining a high degree of confidentiality.
  • Manage Front desk and welcome guests, host them (seat them and offer coffee) and assist them with their questions.
  • Maintain the visitor’s log and ensure everyone signs in and follows covid protocols and procedures at the front desk.
  • Take boardroom meeting bookings and prepare the boardroom for meetings by stocking up refreshments (coffee, sugar, milk pods, paper towels, etc.)
  • Receiving mails and other deliveries: sort and ensure that they reach the respective club members.
  • Providing potential clients with office tours when needed.
  • Preparing contracts and onboarding new members
  • Providing member services: Assisting members with setting up their offices, providing them with supplies, setting them up on printers etc. and
  • Provide support for teams when necessary.

Salary: $15.00-$17.00 per hour
