Haywood’s Operations Department is currently looking to recruit a Receipts & Deliveries Team Lead. To be successful in this role, the candidate must be able to demonstrate a commitment to providing exceptional customer/client service, attention to detail and a willingness to take on new responsibilities and challenges as they arise.

General Accountability:

  • The incumbent in this role will work effectively with management and team members to enhance productivity and ensure that all department goals are met. The incumbent will be the primary individual responsible for monitoring the workflow of Receipts & Deliveries, ensuring that key tasks are completed within established deadlines and in accordance to HSI Service standards.

Key Relationship:

  • This position reports to the Securities Services Manager.
  • Internally: Key relationships will be formed with other operation teams, IAs and IA assistant.
  • Externally: Key relationships include issuer companies, transfer agents, and lawyers.

Responsibilities Include:

  • The incumbent will have the ability to post journals, issue cheques and authorize securities transactions with medallion stamp.
  • The incumbent will deal with new issues, CUSIP setups and updates.
  • The incumbent will be responsible to collect and verify monthly reconciliation reports prior to submitting for audit.
  • The incumbent will participate in the mandatory vault count to satisfy regulatory requirements.
  • The incumbent will have an understanding of the priorities of Receipts & Deliveries and is responsible for managing the workflow to ensure the team meets its deadlines with a high degree of accuracy.
  • The incumbent will represent Receipts & Deliveries as primary point of contact for incoming inquiries and ensure that inquiries are knowledgeably answered or referred to the appropriate internal channel.
  • The incumbent will be the primary contact responsible for resolving problems/exception requests as they arise within Receipts & Deliveries. They will ensure such items are thoroughly investigated, resolved and responded to in a timely fashion.
  • The incumbent is expected to use their strong understanding of regulatory standards, internal policy and procedures, and their advanced knowledge of securities to answer questions for junior team members and identify issues requiring escalation to the Securities Services Manager.
  • The incumbent will provide coverage for team members.
  • The incumbent will direct and drive special tasks, projects and sundry duties as assigned by Securities Services Manager.

Job Requirements:

  • 3 - 5 years of Securities Services experience at a senior/supervisory level.
  • A focus on leadership and fostering a positive team environment.
  • Proven ability to motivate and manage a team.
  • Team resource planning, coaching, training & performance reviews.
  • Comprehensive understanding of physical securities processing and processing systems (Dataphile/CDS/DTC).
  • Experience with developing and implementing procedures to enhance efficiency.
  • Strong problem-solving skills to address and overcome current and future challenges.
  • Strong ability to prioritize and handle high volumes under extreme deadlines.
  • Professional demeanor in all forms of interpersonal communications.
  • Proactive approach to job responsibilities and to be committed to excellent client service.
  • Exceptional organizational and time-management skills.
  • Proficiency with all Microsoft Office applications, Adobe Acrobat.
