Overview:
Under the general supervision of the Supervisor, Vehicle Control, the Vehicle Control Clerk maintains the vehicle inventory at the Physical Damage Compound (PDC) in accordance with departmental policies and procedures.

The Vehicle Control Clerk receives and inventories all vehicle equipment and contents upon arrival. The position ensures that all vehicle contents are itemized. Photographs of vehicles are taken to establish the condition of the vehicle upon entry.

The Vehcile Control Clerk is responsible for accurately entering and maintaining data in the Vehicle Tracking System (VTS) and is accountable for the length of time an item remains in the compound inventory. The position supports a reduced cycle time of all PDC vehicle inventory.

The Vehicle Control Clerk prepares Total Loss packages to assist the Total Loss Unit, performs general yard duties, and supports clerical or administrative duties for the Salvage Operations department.

This role has been identified as a safety-sensitive job. See Section G for applicable occupational health and safety details.
Responsibilities:
  • Tracks movement of all incoming and outgoing vehicles, including the vehicles received after hours, and stolen and recovered vehicles.
  • Updates inventory of vehicles and contents upon arrival using computer software systems.
  • Takes and uploads five to eight photographs of each vehicle upon arrival and maintains a picture repository.
  • Arranges non-contract towing if needed, ensuring fairness in non-contract towing rotation.
  • Administration of the Provincial Garage Keepers Act Regulation and requirements, while the vehicles are in the possession of the physical damage holding compound.
  • Generates and reviews reports to support departmental work flow.
  • Maintains records for department fleet vehicles.
  • Maintains stock and orders supplies.
  • Performs customer service tasks including, dispatching repair facilities, phone calls, emails, in person counter support.
Qualifications:
Education:
  • High school diploma or equivalent.
Experience:
  • One year practical experience in an office environment.
  • Physical Damage Centre Operations experience is an asset.
Technical Knowledge and Skills:
  • Handles multiple tasks and prioritizes assignments to meet deadlines.
  • Ability to work independently and as part of a team.
  • Working knowledge of applicable software including Word, Excel, CARS, IWS, and Property Registry.
  • Working knowledge of Salvage Management System and Vehicle Tracking System is an asset.


Conditions of Employment


  • Must be physically able to work from ladders, lifts or heights of three metres or more.
  • Works near or operates powered mobile equipment.
  • Operates power tools, equipment or machinery.
  • Required to work outdoors.
  • May be required to work alone and/or in remote areas.
  • Required to wear company uniform and safety shoes
  • Required to wear hi-visibility clothing (jackets/outerwear); Personal Protection Equipment (PPE) Hazardous material suits.
