Spartan Response is actively recruiting for a Full Time Project Coordinator to join our growing team. This role will play an important role in Spartan’s ability to continue on our successful growth trajectory.

The Project Coordinator plays a pivotable role in our day-to-day operations by leading the coordination of scheduling incoming service/job requests. This includes the ability to work proactively and collaboratively with our clients, commercial and field teams to ensure that all job-related requirements, equipment and personnel are accurately planned.

The Project Coordinator is also responsible for managing incoming requests from current and prospective client for proposals and quotations for Spartan services, with a key role in coordinating the end-to-end project life cycle from quoting to invoicing and close out. Additional mandates include supporting Spartan’s Bids & Tender submissions, subcontractors, response team training and project administration.

Position Responsibilities
  • Leads day-to-day incoming requests for job scheduling that includes compiling job details, scheduling resources and equipment. Works collaboratively with Spartan Team Leads and Commercial Team to ensure all requirement are accurate and job-activation ready.
  • Prepares accurate and value-add quotes and proposals in response to incoming requests from clients and new business leads for Spartan services.
  • Emergency Response support: Disposal site coordination, specialty equipment rentals, lab samples, report verification & distribution as required.
  • Participate in tender and contract preparation
  • Manage project filing system both electronic and paper
  • Support employee training & certifications (Documents, training courses (skills) tracking, flagging gaps etc.)
  • Coordinate any job-specific requirements (Site passes, pre-training/qualifications, safety as identified by client).
  • Support project logistics for remote accommodation, equipment rentals, subcontract reviews and qualifications.
  • Liaise regularly with clients, sub-contractors, and vendors.
  • Review job invoices prior to management review.
Education, Skills & Background
  • College Diploma or Bachelor’s Degree.
  • 2 to 4 years’ experience in a project coordinator role.
  • Ability to work collaboratively within an operations team and meet deadlines.
  • Detail oriented to ensure project details and execution are accurate.
  • Ability to multi-task, prioritize and work on multiple projects simultaneously.
  • Excellent written, verbal, and electronic communication skills.
  • Good technical writing skills; the ability to create professional quotes and proposals.
  • Strong organizational, administrative, and quality management skills.
  • Proficient skills using MS Office including Teams, Word, Excel, Outlook.
