Position Description

Temporary assignment - until approximately July 2024

POSITION SUMMARY
This position supports the activities of the Nurse Manager of the Nursing Resource Team - Mental Health at the West 5th Campus. This position provides day to day staffing operations for 17 units within the MHAP (mental health addictions program). Operational details and unit activities are coordinated to ensure things run smoothly and in accordance with the policies and procedures of the hospital.

QUALIFICATIONS
  • Post secondary diploma/certificate in medical office administration
  • 3 years experience providing administrative support in a fast-paced hospital program setting with Mental Health experience
  • Basic skill level required for MS Word
  • Intermediate skill level required for MS Excel
  • Intermediate skill level required for typing
  • Clerical testing may be required as part of the selection process
  • Experience developing and managing staffing scheduling systems
  • Ability to communicate effectively and tactfully both in person and by telephone
  • Develop innovative documents / procedures within the office to assist with process of staffing scheduling systems
  • Must have Mental Health and Addiction experience
  • Must be available to work 8 and 12 hour shifts on weekends, holidays, and weekdays
  • Critical Thinking skills; Thinking out of box solutions (to assist with Staffing) and be able to prioritize work
  • Good organization skills with ability to set own priorities and work with minimal supervision
  • Maintain excellent interpersonal relationships while handling multiple tasks, frequent interruptions, and stressful situations
  • Good work performance and attendance record are essential

RESPONSIBILITIES
  • Maintain effective internal and external communications through the sharing and timely dissemination of information
  • Knowledge skills and application of the ONA and CUPE collective agreements
  • Prioritizes work and contributes to the continuous quality improvement initiatives on a regular basis
  • Update schedule daily as it applies to the day-to-day central staffing needs
  • Provides support to the Nursing Resource Team Office and Manager by handling incoming mail, faxes, photocopying, emails, typing various correspondence and maintaining accurate filing system
  • Records staff attendance, completes staff payroll sheets and overtime submission for the manager’s approval
  • Maintains current departmental lists, program documents, call-in sheets, assignment sheets, staff education manuals, and status of pre-grad licences and re-certifications
  • Utilizes appropriate computer applications such as Excel to maintain data and compile statistics for use in auditing and reporting on a variety of central staffing activities
  • Assists in facilitating non-clerical support for office
  • Provide admin support to Operational Command Centre Manager
  • Performs other duties as assigned by the Nurse Manager

HOURS OF WORK
Rotating shifts - days, afternoons and weekends

Essential on-site to support Operational Command Centre flow, efficiencies, process and communication.

WAGE RATE
Hourly: $26.57...$27.71....$28.85 (plus 14% in lieu)
