Osler is hiring a Marketing & Events Coordinator to join our Toronto Client Development & Marketing Team. We are looking for an energetic, meticulously detail-oriented team player to join our fast-paced Events Team. This role reports to an Events Specialist and assists in the planning and delivery of exceptional client experiences. This is a client-facing role and the Coordinator will be working directly with partners and senior management in the planning and execution of client seminars and social events. We are currently hosting all client events in-person, or virtually - as live or on-demand webinars. We are looking for someone who has experience running webinars and is familiar with webinar and virtual event technology.

Major Responsibilities

  • Plan, coordinate and execute all logistics for external client events (in-person and virtual events)
  • Work directly with partners and senior management to draft event briefings including objectives, audience, format, scope and budget
  • Coordinate the drafting of invitations and the creation of targeted mailing lists
  • Manage all virtual event technology requirements including the firm CRM (OnePlace), CMS (Kentico), Zoom and our preferred webinar planform, ON24
  • Train lawyers on how to use the ON24 webinar platform – manage all event logistics the day of
  • Compile and analyze post-event survey and feedback and arrange appropriate follow-up
  • Plan, manage and execute client virtual social events (wine tasting, closing dinners, trivia nights etc.)
  • Coordinate the firm’s client gifting program, including regularly sourcing new and interesting products
  • Manage the firm’s client entertainment opportunities including sporting event tickets
  • Coordinate with the other Osler offices to support their event programs as required.
  • Evaluate our event offerings to ensure they are on brand and consistent in delivery.
  • Some overtime is required (executing evening social events)

Position Requirements

Education and Experience

This position requires a relevant university degree or college diploma, plus a minimum of two years’ of relevant work experience in planning and executing events. An equivalent combination of education, training and experience may be acceptable. Experience in a professional services environment is an asset.

Knowledge and Skills

  • Strong event management background (preferably in a corporate environment) with a demonstrated knowledge of event planning and management principles, methods and techniques.
  • Experience with event technology including Salesforce, ON24, Zoom, Marketing CMS strongly desired
  • Proficient with MS Office, including Word, Excel, Outlook and PowerPoint.
  • Strong customer-service orientation
  • Ability to take ownership of projects, as well as multi-tasking multiple concurrent events.
  • Superior accuracy, attention to detail, creativity, time-management and organizational skills.
  • Excellent written and oral communication skills
  • Creative flair and interest in creating new client events and experiences
  • Bilingual (English/French) considered a strong asset
