St. Clair College is seeking an experienced and motivated professional who shares our commitment to quality and student success.

POSITION SUMMARY:

The incumbent is a member of the Financial Aid Office, who supports the administration of the Ontario Student Assistance Program (OSAP), Entrance Awards, bursary program & other student awards. The incumbent will provide customer service to applicants, students, staff, and the community at large as it specifically relates to Financial Aid. Main responsibilities include administering & determining student eligibility & entitlement of OSAP, disbursing OSAP, executing & editing OSAP applications, award opportunities & other matters relating to financial aid assistance. The incumbent is the “Financial Aid Expert” and therefore must be extremely knowledgeable in all aspects of Ministry and College regulations, policies, and procedures, to adequately deal, support and redirect inquiries as it relates to the above. They will act as the main resource for all customer and community inquiries relating to financial aid assistance.

CORE DUTIES AND RESPONSIBILITIES:

Financial Aid / OSAP45%

Responds to students in person, by telephone or by email regarding requests relating to changes to government funding, documentation requirements, program eligibility, out-of-province assistance programs. Reviews & processes paper and electronic copies of supporting documentation. Receives communications by mail/email & electronically notifies students of incomplete or missing documentation. Applies knowledge when processing alternate funding options. Processes confirmation of enrollments electronically & manually for OSAP, out-of-province student loans & Canada Apprenticeship Loan program. Identifies & inputs the necessary information/changes relating to withdrawals, changes in grades, academic standing, or activities MCU deems to be a lack of evidence towards academic progress. Processing of student files & meeting with students with disabilities, including processing disability forms & BSWD applications/information. Shows sensitivity & confidentiality when dealing with students due to the private & personal nature of the information in the student’s OSAP application. Adheres to the Freedom of Information & Protection of Privacy (FIPPA) guidelines. Forwards students and/or certain circumstances to management

Process/enter changes to student records, such as course load changes, withdraws, refunds, etc. along with maintaining academic progress records. Construct, amend, revise internal databases/spreadsheets that track student eligibility, issuing & receipting bursaries, scholarships & Entrance Awards. Processing, upkeep & maintenance of Bursary Recording System (BRS) entries for MCU and T4A tax receipts, as well as Continuation of Interest-Free Status (CIFS) forms. Preparation & upkeep of annual program Cost Codes for OSAP purposes. Preparation of documents for MCU Audit/Compliance reviews & archiving records. Upkeep of financial aid resources available to students & on website, including Financial Literacy. Authorizes & issues emergency loans according to policy.

Provides efficient & effective customer service to students, staff & faculty. Apply MCU & St. Clair College admission policies & procedures related to enrollment & withdrawals. Review, approval & processing of Institution-Funded Special Bursary Plan applications. Review/approval of Work Study applications, including accuracy of student budgets. Editing supporting documentation to finalize submitted OSAP applications

General/ Other Duties as Assigned 10%

Participate & deliver financial aid information & material to the community & at College promotional events. Back-up colleagues to assist with overall workload & provide general office administration guidance. Networking with Ontario Student Financial Aid Administrators Association (OASFAA).

MINIMUM QUALIFICATIONS (SKILLS REQUIRED):

EDUCATION:

The successful candidate must possess a two (2) year Ontario College diploma in Office Administration, Business Administration or other related field.

EXPERIENCE

The successful candidate must have a minimum of two (2) years’ experience in a post-secondary setting, including expertise with the student information system. The incumbent shall have demonstrated customer service. Knowledge of OSAP, College programs & registration processes would be considered an asset.

ANALYSIS & PROBLEM SOLVING

· A student does not have enough funds in their OSAP assessment to cover their full educational costs for the academic year.

· A student is unable to provide parental information and signature pages.

PLANNING/COORDINATING

· Planning for implementation of College’s Tuition Bursary Program.

· Participating in Financial Aid workshops, various presentations & College promotional events.

· OSAP Audit preparation. The incumbent is responsible for the gathering of OSAP files for the audit.
