The Contracts Admin provides assistance to the Procurement /Contract specialist for the contract management and contract administration functions of the project. Responsibilities include the process of systematically and efficiently managing contract, assist in execution, and analysis for the purpose of maximizing financial and operational performance and minimizing risk. Scope of work term is for approximately 12 months, however duration of personnel’s terms are at the discretion of Client and shall be revised as required. Requirement for additional extensions will be reviewed and finalized two weeks prior to expiration of current scope of work term.
Qualifications:
- Bachelor’s Degree from an accredited university or college with major course work in Business, Administration, Accounting, Procurement, Law or Finance.
- A minimum of three (3) years of increasingly responsible professional level experience in purchasing, or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
- Excellent interpersonal and engagement skills, both verbal and written, with proven communication skills
Roles and Responsibilities (include but are not limited to the following):
- Participate in contract negotiations and term agreements and work with parties to address concerns and resolve disputes.
- Assist in developing conditions for bids, proposals, and contracts.
- Monitor project’s budget, expenses, payment terms, and other financial obligations.
- Ensure contracts and other documents comply with relevant regulations, laws and Client standards
- Assist Project Manager and team with bidding process and assisting with contract award processes.
- Coordinate contractual issues with company procurement and legal teams
- Maintain records and filing systems on existing and new contracts, bids and proposals.
- Review and/or provide guidance in the preparation of contracts, agreements, amendments and change orders.
- Assist in Pre and Post-bid meeting reviews and matrix.
- Assist in negotiating and executing contracts.
- Verification that all contractual clauses are included in documents as appropriate.
- Manage vendor/supplier performance in relation to contractual agreements.
- Ensure compliance to the terms and conditions of the contracts.
- Manage contract close-out.
- Track payments to vendors/contractors as per contract.
- Assist in debriefings, resolving disputes, claims, litigation and settlements.
- Maintain contract files and records, prepare status reports, and reconciles differences with finance and the Project Manager
Cost Administration
- Assist input and tracking of purchase requisitions.
- Tracking of contract change orders.
- Daily LEMS and timecards: Track, verify and return field coordinator signed LEMS
- Receive against verified LEMs and timecards
- Verify LEMS match invoices & provide summary report to the Project Manager
General
- Assist in preparing project related minutes, and issue meeting minutes for all team/contractor meetings; Assist Project Manager, Construction Manager, Project Engineer(s), Program
- Manager, Project Controller, Project Coordinators, Project Safety Coordinator, and
- Project Quality Assurance Coordinator with any requests as needed.
- Act on behalf of Client/Company, always;
- Communicate any issues to the Client/Company.
Travel and LOA will be provided for those out of province, LOA will also be available if living more then 100kms from site
