BillboardHub seeks a highly organized and detail-oriented individual wanting to join our team. As an Administrative Assistant, you will be crucial in managing various administrative tasks, including invoicing, collections, vendor payments, etc. This position requires excellent organizational skills, strong communication abilities, and the ability to thrive in a fast-paced environment.

Who we are:

BillboardHub has been working with small and large advertisers to create advertising campaigns on billboards across Atlantic Canada since 2020. We also offer indoor and outdoor digital LED products.

Responsibilities:

  • Handle all aspects of invoicing, including creating and sending out invoices, monitoring payment status, and following up with customers as needed.
  • Manage collections, ensuring timely and accurate collection of payments from clients.
  • Process vendor payments, verify invoices, and issue payments within specified timeframes.
  • Answer incoming calls, assist callers, and transfer calls to the appropriate individual.
  • Prepare reports by collecting and analyzing sales data, summarizing financial information, and presenting findings periodically.
  • Maintain accuracy of product listings across various platforms (website, cloud), ensuring up-to-date product information, pricing, and availability.

Requirements:

  • Post-secondary education and equivalent relevant experience
  • Strong attention to detail and exceptional organizational skills.
  • Proficiency in using various software programs, including Microsoft Office suite (Word, Excel, Outlook).
  • Flexible and open to the fast-changing nature of the business.
  • Excellent communication skills, both verbal and written. Bilingual (FR/EN) Preferred.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Strong problem-solving skills and the ability to work well under pressure.
