The Role: Project Coordinator

Responsible for assisting the Project Manager in the administration of project cost and scheduling systems, the Project Coordinator will coordinate the efforts of all other staff assigned to site. They will perform estimating functions for changes and addenda and supervise the document and shop drawing control system while ensuring the smooth flow of information between the design team, consultants, and contractors.

What You’ll Do:

  • Create a list of expected shop drawings based on the requirements in the specs
  • Coordinate shop drawings with pertinent subtrades for each discipline incl. distribution to all relevant trades
  • Ensure all required shop drawings are submitted and coordinate their timely approvals in concordance with the Junior Coordinator
  • Possess the ability to measure off plans, locate a detail, section, or elevation for a particular detail.
  • Identify cost related changes in concordance with the Junior Coordinator
  • Review issued directives by professionals, understand impact to each affected trade, and issue out to trades accordingly
  • Coordinate client elements and modifications, site visits with professionals, appliances, and samples and finishes
  • Take and distribute meeting minutes to site and the client
  • Follow-up on timely answers from professionals with regards to RFI’s
  • Analysis of professionals’ reports, follow ups to their responses
  • Preparing client monthly reports
  • Execute deficiency inspections in addition to second inspection w/ client or rep and follow up on executed work
  • Provide reports, documentation and general coordination on LEED
  • Coordinate the project’s pre-delivery checklist
  • Review change orders in coordination with the PM before submission to the client
  • negotiate small trade contracts
  • Enter data into MS Project for scheduling
  • Ability to prepare a scope of work for small tenders
  • Dispatch requests for tender and addendas
  • Follow up on receiving quotes
  • Provide simplified bid analysis of simple tenders (eg toilet partitions, fireplaces, etc)
  • Track bidding RFIs, send RFIs to professionals based on direction of PM or Senior Coordinator

What You’ll Need:

  • Degree in Architecture, an Engineering or Scientific discipline, or specialized courses in Construction Management or equivalent experience and training (Project Management certificate considered an asset)
  • Progressive work experience, including supervision, preferably in project and staff design engineering or architectural design (may include other relevant types of engineering including start-up and field engineering)
  • Technical knowledge of a specialized engineering discipline cost scheduling and/or contracts administration relating to the construction of heavy industrial or commercial complexes
  • Knowledge of related construction practices and the economics involved including current knowledge of new methods of design and construction
  • Ability to determine the priority of assignments based on critical deadlines
  • Ability to resolve field-initiated questions
  • Written and oral communication skills
  • Must possess computer skills including Microsoft Office Suite (experience with project management software an asset)
