Job Summary
Mace is currently engaged in a mega rail and infrastructure scheme, delivering world-class transportation solutions in Toronto.
Reporting to a program manager, the role works in partnership with the office and facilities team. Responsibilities include the mobilization process of recruitment and new hires, the creation of a safe, fit-for-purpose and sustainable work environment, coordinating and implementing post-pandemic protocols, supporting the IT infrastructure team, and facilitating communications to ensure it is seamlessly functioning, and implementing cost savings management in the day-to-day operations of the MCS office.

Key Responsibilities
  • Managing the calendar of senior staff on the team and arranging for meetings and other interactions with internal and external stakeholders.
  • Preparing reports and other documentation as needed for various tasks.
  • Assisting the project teams with travel, accommodations, and hospitality for mobilizing employees and/or visitors, as required.
  • Maintaining and communicating health, safety, and well-being protocols pertinent to the office environment, in accordance with applicable regulations and in partnership with the health and safety team.
  • Coordinating the business continuity requirements for the program.
  • Coordinating with the IT department on all IT infrastructure requirements.
  • Creating program documents and taking minutes, as required, to support the leadership team.
  • Coordinating policies and agreements.
  • Managing the office floor plan, managing equipment, allocating hoteling through the client system, and coordinating any post-pandemic protocols according to local and national regulations, as they arise.
  • Completing special projects, as assigned, to directly support MCS teams.
  • Participating actively in the planning and execution of company events.
  • Maintaining security, integrity, and confidentiality of data.
  • Co-managing and facilitating access to the SharePoint environment.
  • Organizing and managing office relocations as required.
  • Recommending enhancements for ongoing office operational efficiencies, as required.
  • Providing effective facility management of the new office facilities to be populated by the delivery partner and other contractors associated with the Program.
  • Developing and maintaining office policies as required and initiating the change management process to implement new policies.
  • Organizing new hire orientation and induction programs in partnership with the MCS Office and Facilities Lead.
  • Track active resources, identify vacant roles, escalate need for role changes, and ensure smooth onboarding and offboarding processes. Address resource management issues and improve processes.
  • Initiate collaboration with hiring managers and recruitment team to understand resource needs and role requirements.
  • Ensure MCS job descriptions are up-to-date and on file.
  • Facilitate onboarding of new hires.
  • Perform any additional duties as necessary to support project deliverables and key activities.

Technical Competencies Required
The key technical competencies required to perform the role well are outlined below.
You have a degree in a related discipline. You have knowledge of facilities, systems, people coordination, and operational procedures. You have a proven track record of assisting and implementing projects. You are knowledgeable about organizational change management.
You are digitally savvy with proficiency in MS Office, can build lasting client relationships and provide support to strong, motivated teams.
