Provides administrative, clerical, and secretarial support for the Director and the Alumni Relations Office and programs including communications, events, benefits and services. Responds to enquiries from alumni, campus members, and the general public and provides information on alumni programs. Composes and edits correspondence, memos, reports, program/meeting agendas and notes. Provides administrative support to the Alumni Association Board of Directors by organizing meetings, taking and transcribing minutes, establishing tracking systems, and managing records and documentation. Monitors program budgets and maintains accounting records by accurately assigning debits and credits, managing complex bookkeeping spreadsheets, and reconciling accounts for the Alumni Relations Office and the SFU Alumni Association for financial reporting. Processes and tracks SFU Alumni sponsorship payments. Oversees volunteers for select local alumni events; maintains records, filing systems, and event budgets. Organizes travel arrangements and prepares expense claims for Alumni Relations staff, Deans, and Faculty members as required.

Qualifications:

High school graduation and one year of post-secondary education or formal program equivalent, including courses in office practices, word processing, spreadsheet, database, and web updating applications; and basic bookkeeping and accounting procedures. 3 years of related experience. An equivalent combination of formal education, certificate/program of study and experience is acceptable.

  • 60 wpm keyboarding skill with a high degree of accuracy.
  • Good knowledge of Canada’s Anti-Spam Legislation (CASL).
  • Good knowledge of basic bookkeeping and accounting concepts and practices.
  • Good knowledge of standard office practices.
  • Good knowledge of standard University programs, policies and procedures.
  • Excellent interpersonal and customer service skills.
  • Excellent communication (oral and written) skills.
  • Excellent organizational, analytical reasoning and problem solving skills.
  • Good research skills.
  • Ability to use standard electronic email/calendar, mail list, word processing, presentation, database and spreadsheet applications at an intermediate level (e.g., SFU Connect, Word, FileMaker, Excel, PowerPoint).
  • Ability to use enterprise-level information/accounting systems (e.g., PeopleSoft, SIMS, Blackbaud, FAST, AMAINT) at an intermediate level.
  • Ability to use web updating software (e.g., AEM) at an intermediate level.
  • Ability to use event organizing platforms (i.e. Eventbrite), social media (e.g., Facebook, Twitter, etc.) and electronic survey tools (e.g., FluidSurvey).
  • Ability to exercise mature judgment and diplomacy.
  • Ability to work independently and meet deadlines.
  • Ability to assign and check the work of others.
  • Ability to take and transcribe accurate minutes of meetings.
  • Ability to accurately record debit and credit transactions.
  • Ability to perform arithmetic calculations with a high degree of accuracy.
  • Ability to handle confidential/sensitive material with discretion.
  • Ability to attend and work at meetings and functions outside of normal working hours (e.g., evenings and weekends).
  • Ability to work at all SFU campuses (Burnaby, Vancouver, Surrey).
  • Ability to lift office supplies weighing up to 10 kg.
