Please note this role will work in a hybrid environment. The successful candidate will be working at one of our site offices, preferrably at our head office location in Ottawa - 1800 Alta Vista Drive, with a mixture of on and off-site work based on the parameters for our operations to meet the needs of our donors, our staff and our communities. We recognize the land and waters that have inspired our work and offer gratitude to those Indigenous peoples on whose territory we work, live and play.About The RoleCanadian Blood Services is looking for a Temporary full-time Program Assistant to join our dynamic Strategic Facilities Management & Business Integrationteam.The Strategic Facilities Management & Business Integration team is responsible for supporting Canadian Blood Services by managing our facility infrastructure aligning capacity and resources to optimize value in infrastructure investments, while providing a balanced approach to managing service quality, performance, and risk. Integration is balanced with effectiveness and accountability in providing facility infrastructure management and property services, to support our workload, stakeholders, and programs.In this role, you will provide general administrative and customer service support and to excel in one or more required specialized areas such as: technology system knowledge, maintaining access privileges and data entry, knowledge management, dashboards, reports, and analytics and maintaining project documentation.Formula for success- Drawing on your organizational and interpersonal skills, you will provide administrative and customer service support for the SFM&BI department and stakeholders.
- As required, you will participate in and provide project and program support, create reports, dashboards, presentations, meeting documentation, respond to inquiries and concerns in accordance with established scripts, procedures, and processes.
- Focusing on your analytical skills, you will review documentation including but not limited to records, data, forms, policies, and departmental manuals.
- Utilizing your attention to detail, you will maintain documents, records, and data in a controlled manner to ensure accessibility to information using established knowledge management principles.
- Drawing on your time management skills, you will complete payroll tasks including but not limited to entering schedule / time sheet exceptions into SAP and conducting peer review.
- Leveraging on your training and experience, you will provide procurement support by initiating requisition and purchase order requests.
- Completion of post-secondary administrative training from an accredited community college or academic institution.
- You will have a minimum of three years related experience including knowledge of good record keeping practices.
- Preferably, you will have previous experience/exposure working within an IS0 9000 or GMP environment.
- You will be able to work effectively in a national virtual team environment and have the maturity to work with minimal supervision.
- Proficiency in the use of personal computers within a Windows operating system using Microsoft Word, Excel, and Outlook software.
- Preferably you will have experience with Teams, SharePoint, Viva Goals, SAP, Documentum, Forms and Power BI.
- You will need a demonstrated commitment to customer service.
- You will possess strong oral and written communication skills in English.
