The Personal Lines Assistant provides administrative support to the Account Executive (Producer) in accordance with Company operating procedures. They will serve as the internal contact point on all aspects of the account, including client service and marketing activities.

The assistant’s involvement and responsibility will vary depending on Producer, however, this is a general guideline of the duties of the CSR. Other specific duties as required and specific to individual producer portfolio and programs may be required.

Responsibilities:
Maintain renewal lists and actively follow up on expiry dates.

Participate in renewal planning and strategy meetings.

Assist with maintaining individual client coverage checklists, obtaining updated underwriting information following Best Practices including applications and recommending new coverage to existing clients on renewal.

Assist Producer with marketing and compare coverage and prices available (new and renewal business).

Responsible for processing all policy documents, transactions, certificates, binders, proposals, summaries, claims, client/carrier correspondence and attaching in EPIC using the HUB Standard Naming Conventions.

Maintain complete detailed notes of all clients/carrier conversations, annual and bi-annual reviews, contacts, changes etc., and keeping updated in EPIC.

Maintaining and updating of client information in EPIC, including setting up new clients on the EPIC system.

Maintain and update activities in EPIC for all open client/company transactions including reminders for yourself and the Producer using who/owner in EPIC as necessary.

Update and maintain template documents in EPIC such as renewal letters, claims, binders, proposals, and related word processing including updating all schedules including automobile schedules, appraisals, evaluations and appraisals as needed, etc.

Prepare and send out documents such as Confirmation of Insurance to loss payees upon request

Process and request endorsements/corrections directly from Insurance Companies and set activity for follow up.

Assist new and existing clients in producer’s absence: respond to all incoming client calls, handle and process all requests, obtain information from walk-in and phone-in clients in producer’s absence.

Assist Producers with follow-up on accounts receivable.

Familiarize with company web sites and portals including the HUB PL Share Point Site.

Report and follow up claims; Producers to be updated on all incoming claims; ensure all coverage questions are addressed to senior producers and/or adjusters. Add, update and maintain claims status in EPIC.

Act as a back-up Auto Team Member during low seasons.

Enrollment in insurance related courses when necessary and when available.

Attend and participate in company meetings.

Assist in training when required.

Qualifications:
Exceptional customer service skills

Excellent written and verbal communication, detail orientated

Ability to work in a busy, fast paced team environment

Weekend and Evening availability, depending on the needs of the branch

High school education or equivalent

Level 1 Insurance License is required with a minimum of 3 months experience

Willingness to obtain a Level 2 Insurance License or already working towards it
