Come Join Our Team! We’re looking for a full-time Office Coordinator at our Vancouver office.

The successful candidate will be responsible for a variety of administrative and office management duties. The Office Coordinator will provide support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.

RESPONSIBILITIES

Administration

  • Setup licenses, employee emails and conducts new employee orientation for Microsoft Office 365
  • Coordinates with IT department on office equipment needs
  • Manages company issued cell phones for Canadian locations and Rogers billing
  • Coordinates business licences, permits, and other required documentation for all camp locations
  • Arranges and renews business licenses, work permits, and other required documentation for camp operations
  • Assists Human Resources with setting up and collection of new/departing employee computers, phones, and office keys
  • Works with external vendors to ensure smooth operations
  • Prepares communication and reports using Microsoft Word and Excel
  • Makes arrangements for company travel requirements
  • Completes RL-24 tax forms
  • Liaises with leadership team to handle administrative requests as required such as arranging meetings, setting up catering requirements, taking meeting notes, etc.
  • Monitors office supplies inventory and places orders when necessaryAssists with sending couriered items
  • Other tasks as assigned

Office Management

  • Acts as main contact for tenants regarding building issues/repairs and rent payments
  • Main point of contact with office related external vendors
  • Assists with organizing office, layout and equipment
  • Maintains office condition and arrange any necessary repairs
  • Plans in-house and off-site activities such as office social events, celebrations

YOU ARE:

  • Detail oriented, plans, organizes, schedules efficiently and productively
  • Tech-savvy: competent with email, social media, office 365, teams or equivalent. Can trouble shoot small computer issues
  • Goal oriented self-starter who will get the job done effectively and efficiently
  • A communicator, excellent written and verbal communication skills
  • Team player, works collaboratively with others
  • Multi-tasker, works well on numerous unrelated tasks concurrently
  • Strong work ethic, ensures project completion follow through and follow up, works continuously towards successful outcomes
  • Professional, maintains high level confidentiality
  • Flexible/adaptable, adjusts quickly to changing situations; copes effectively with complexity and change

QUALIFICATIONS

  • A minimum of 2 years proven experience as an administrative assistant or office assistant
  • Proficiency in MS Office (MS Word and Excel in particular)
  • Knowledge of office management systems and procedures
  • Previous experience working with accounting software (Sage Intacct, an asset)
  • Some post secondary education an asset
