Position Summary:
Under the direction of the General Counsel, Chief Privacy Officer and Corporate Secretary, this position is responsible for assisting in a variety of legal, governance, regulatory and contract matters as well as providing executive administrative support to the legal department.
Key Accountabilities:
Legal
  • Supporting the design, documentation, implementation, and ongoing management of department processes and technology tools, including records management;
  • Assisting with coordinating the accurate and timely workflow of regulatory reporting to ensure the Terms of Registration are maintained in all Canadian gaming jurisdictions including maintaining a correspondence log of all regulatory filings;
  • Assisting with managing litigation claims;
  • Assisting the Director, Regulatory Affairs & Assistant Corporate Secretary with the following:
    • gaming registration applications;
    • new liquor licence application and renewals;
    • business license renewals; and
    • creating and updating board and committee materials through a secure Board Portal
  • Arranging and maintain meetings in Outlook, along with coordinating meeting requests, rooms, teleconference and videoconference meetings and catering, as necessary;
  • Assisting with creating and editing presentation materials, documents, spreadsheets, and meeting/presentation agendas so that all materials are consistent in look, design, and application; and
  • Providing administrative support for the department, including but not limited to data entry and drafting correspondence.
Contract
  • Assisting with research and maintaining all internal policy and procedures related to BC contract reporting obligations;
  • Assisting in the administration of the internal contracts system, including the creation and maintenance of vendor records and liaising with vendors to resolve issues;
  • Developing strong working relationships with GCGC team members and vendors;
  • Ensuring that current contracts are accurately recorded in the vendor contract management system and any renewals are flagged to management and executed in a timely manner;
  • Monitoring the vendor contracts mailbox to ensure that team member requests are dealt with efficiently;
  • Ensuring that all critical contract deliverables and deadlines are monitored and actioned; and
  • Preparing correspondence, reports, presentations and other documents for the Senior Contract Manager.
Education and Qualification Requirements:
  • Minimum 5 years of administrative support experience including experience with business application software.
  • Exceptional oral and written communication, organizational and administrative skills.
  • Experience in a legal environment is preferred.
  • Advanced proficiency in all MS Office desktop applications, including Word, Excel, PowerPoint, Visio and SharePoint.
  • Advanced written and verbal communication skills.
  • A high standard of professional ethics and conduct.
  • Exceptional organizational skills.
  • Comfortable working in an executive environment.
  • Maintains strict confidentiality.
