Position Title: Senior Executive Assistant
Classification: Permanent Full-Time
Location: Ma Mawi Wi Chi Itata Centre Administration Office (Headingley, MB)
Salary: Subject to Qualification

GENERAL RESPONSIBILITY:

As a member of the Executive team and under the direct supervision of the Executive Director, the Senior Executive Assistant is responsible for the administrative operations of the Executive Director and Board of Directors. The Senior Executive Assistant serves as the primary point of contact for internal and external inquires on all matters pertaining to the office of the Executive Director. The Senior Executive Assistant also serves as a liaison to the Board of Directors and Executive team; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The Senior Executive Assistant possesses qualities of an individual who is confident in their analytical and organizational skills, able to handle stress, and enthusiastic about applying these skills towards innovative purposes. A high degree of confidentiality will be required of this position. The Senior Executive Assistant should also be extremely poised, have excellent communication skills, including excellent writing abilities, work well under pressure, be detail oriented with confidence to manage multiple competing priorities. The Senior Executive Assistant requires advanced experience in the non-profit sector, including knowledge of legal requirements for non-profit organizations, registered charity, and board of directors’ governance models.

KNOWLEDGE & PERSONAL EXPERIENCE REQUIREMENTS:

  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Thorough, conscientious, and attentive to detail to ensure quality work.
  • Communicate effectively both verbally and in writing, including effective use of computer software such as MS Office, video conferencing applications and social media.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Tactful and discreet when dealing with confidential information.
  • Proficient in office procedures and various types of office equipment.
  • Advanced experience in the non-profit sector, including knowledge on the legal requirements for non-profit organizations, registered charity, and board of directors’ governance.
  • Manage and organize multiple competing priorities effectively.
  • Knowledge of social issues affecting urban Indigenous people.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Respectful to engage people and build helping relationships.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
  • Subject to Criminal Record Check, Child Abuse Registry and Prior Contact Checks.
  • Must have a valid Manitoba driver’s license and access to a vehicle.
