Responsibilities

Reporting to the Manager, - Mental Health & Addictions, the individual will perform secretarial duties required in accordance with established procedures of Mental Health & Addictions. The successful candidate will work in an outpatient clinic which provides services to adults receiving Mental Health & Addiction services. The position requires a high degree of sensitivity to persons and families, many of whom may experience significant stress and crisis in their lives. They will provide administrative and clerical support to the Manger, psychiatry and the general functioning of the clinic.

Qualifications
  • Grade 12
  • Graduate of a one (1) year secretarial or business course
  • Medical Terminology Course
  • Provide administrative support to the Mental Health & Addictions team
  • Act as the receptionist for the service, which involves greeting visitors and clients, handling all incoming telephone calls arranging appointments as necessary.
  • Register clients through Meditech
  • Send appointment letters and make reminder phone calls
  • General secretarial duties (typing, processing mail, composing correspondence, transcribing dictation, filing, arranging meetings, ordering supplies, faxing, collating, copying, answering the phone).
  • Deal with the public and departments/agencies within and outside the organization
  • Responsible for ordering all needed supplies through SAP
  • Other related duties
  • Competencies in other languages an asset, French preferred
