Our client is a well-established, high-end Commercial Real Estate Broker with an opening for a mature and confident, Real Estate Services Assistant. This is a permanent position with flexibility to work hybrid a couple of days/week. The position will consist of the management and processing of documents for a busy Investment Broker. You’ll liaise with various other departments to assist with completion of projects from inception to completion. Responsibilities
Collect and administer supporting documentation for real estate transactions, ensuring that all essential documents are completed for compliance
Organize transaction documentation for submission to Conveyancing in order to process Broker commission payments
Answer, screen, and direct incoming calls. Respond to general inquiries and provides information as needed, while maintaining confidentiality in all communications
Maintain and update relevant databases and assist with website updates
Organize and maintain a filing system
May coordinate schedules and appointments
May be required to attend team meetings to record meeting minutes and action items
Act as a point of contact for the administrative, IT, research, conveyance, and marketing departments
Carry out special projects and assignments as requested
Qualifications
A bachelor’s degree or equivalent combined experience and education
Experience using Microsoft Office Suite and InDesign would be considered a big asset but is not a requirement to be considered
Ability to meet deadlines in a fast-paced environment with changing priorities; sometimes under pressure while remaining flexible, proactive, and efficient
Ability to work on projects autonomously from start to finish
Excellent time management, problem-solving and written/verbal communication skills essential
Strong organizational abilities that demonstrate the capacity to multitask and prioritize various projects while maintaining a high level of attention to detail
Ability to handle sensitive information with discretion and provide exceptional customer service and responsiveness
Ability to work as a self-motivated individual and in a team environment
Ability to respond to common inquiries or complaints from clients, coworkers, and/or supervisors
Knowledge of financial terms/principles and ability to calculate figures such as percentages, discounts, and/or commissions
