The Role

The successful candidate will apply project management coordination skills and experience acquired working in the creative and technology industries to deliver communication solutions for our clients. The candidate will work closely with our Project Managers on a variety of programs, from day-to-day tasks to complex projects.

The Project Coordinator should be comfortable in a fast-paced and challenging environment; be competent in using Microsoft Office applications such as Word and Excel, and have exceptional verbal, and written and meeting presentation skills. A bachelor’s degree in Business or a related field of study and at least 1-3 years of relevant experience is required for consideration.

What’s Involved
  • Prepare, maintain, and monitor project plans, project schedules, work hours, budgets, and expenditures.
  • Execute various activities to deliver projects, such as, organizing brainstorms, documenting scope, requirements, and liaising between project teams and departments.
  • Manage day-to-day implementation of project resources to ensure work is assigned appropriately, and work details are understood.
  • Coordinate and contribute to program proposals and budgeting.
  • Assess project risks and issues and provide solutions where applicable.
  • Assist with impact analysis and complete change requests.
  • Oversee project procurement to ensure process is followed.
  • Organize, attend, and participate in stakeholder meetings.
  • Prepare necessary presentation materials for meetings.
  • Host and facilitate meetings where appropriate and distribute meeting minutes to all project members. Follow-up on important actions and decisions.
  • Act as a point of contact and communicate project status to all participants.
  • Ensure that organizational processes are followed, and appropriate documentation is maintained/completed for each project. This includes preparing weekly status reports as required by senior leaders.
  • Ensure that stakeholder views and impacts are managed towards the best solution.
Qualifications

Must-Have Skills:
  • Post-secondary degree or certificate in business or related field of study.
  • One to three years experience in related field.
  • Excellent verbal and written English communication skills.
  • Detail oriented and can manage the minutia of many projects.
  • Dependable, reliable and a self-starter who can complete their work effectively.
  • Able to work effectively both independently and as part of a team.
  • Competency using Project Management Software and Microsoft applications including Word, Excel, and Outlook.
  • Knowledge of file management, translation, and other administrative procedures.
  • Ability to work on tight deadlines.
Nice-to-Have Skills
  • Experience working in marketing, advertising, creative agency or within the domain of safety or communication industries
  • Knowledge of project lifecycle methodologies and risk management
  • Experience with business process design/workflow
  • Working knowledge of SharePoint and development ticketing programs
  • Previous experience using Dropbox
