CONTRIBUTING TO THE CMPA

Physician Support and Wellness (PSW) services’ core function is to develop and implement strategy relating to the CMPA’s commitment to members, as outlined in the Strategic Plan: Offer caring and meaningful support and provide an outstanding member experience. This includes member-facing initiatives regarding physician wellness, equity, diversity and inclusion, evolution of principles of assistance and collaborating with internal and external stakeholders in developing enhanced approaches to accessing services. The department is also responsible for coordinating the Council Committee and overseeing the implementation of the strategic plan elements related to Assisting Physicians: Extent of Assistance Committee.


POSITION OVERVIEW


Reporting to the Manager of Planning and Projects, the Project Administrator performs coordination and administrative duties to support multiple projects of various complexities. These duties may include preparing project documentation, assisting project planning, scheduling meetings, taking notes, writing and distributing meeting minutes, and helping the project and project team stay on track. With a full understanding of the context within which PSW and Medico-Legal Services (MLS) operate, the Project Administrator effectively collaborates and works in consultation with project participants, all areas within the two departments, and other CMPA teams as required.

POSITION ACTIVITIES


  • Provide coordination and administrative support to projects as assigned by the Manager, such as preparing project documentation, assisting project planning, scheduling meetings, taking notes, writing and distributing meeting minutes, and helping the project and project team stay on track.
  • Maintain project plans and alert Manager of changes to the plan that will affect timelines and deliverables.
  • Develop key metrics and key performance indicators, and report on project progress against the project plan.
  • Follow up with project participants on deliverables and milestones.
  • Identify and resolve cross-functional issues pertaining to policy, procedures, processes, guidelines, quality assurance and quality improvement issues.
  • Communicate with PSW and MLS staff and staff from other departments to respond to project-related inquires and questions.
  • Facilitate the flow of project information between the various functional groups within PSW and MLS as required (e.g., people leaders, medico-legal assistants, legal case administrators, etc.).
  • Track progress of project-related data/process/system problems/solutions and liaise with staff from other CMPA areas (e.g., Membership Services, Information Technology, Data and Business Intelligence, Business Analytics, Safe Medical Care Research, etc.).

EDUCATION AND EXPERIENCE


  • Diploma or Certificate Program (2-3) years (such as Communications, Business Writing, Project Management, or other relevant field)
  • 4-6 years of medico-legal file management experience
  • 1-2 years of project coordination and/or administration experience (preferably in a health care environment)
  • Knowledge of software and computer applications: MS Office and various databases and/or internal applications (e.g., SugarCRM, Dragon Dictate, Documentum)
  • Knowledge of project management and process improvement methodology

  • Excellent written and verbal communications skills
  • Ability to meet deadlines on a consistent basis
  • Strong project coordination and/or administration and organizational skills, with the ability to work effectively both independently and as part of a team
  • Excellent client service, analytical and coordination skills
  • Effective critical thinker, with the ability to exercise sound judgement and discretion
  • Ability to liaise effectively and professionally with all levels of staff, management, and other CMPA employees
  • Ability to manage multiple projects of various sizes and complexities simultaneously
  • Strong addition to detail is critical
  • Bilingualism (French/English) is an asset

  • Salary Range: $57,463 to $80,449 annually - classified as level 7
  • Location: Ottawa Ontario, Working fully remotely during the pandemic, until further notice*. Post pandemic this job will be Hybrid/Primary Remote and working the majority of time, on average 3-4 days from home-based office with regular on-site presence at the CMPA office located in Ottawa, Ontario
