CMHA Peel Dufferin is pleased to announce that we are currently recruiting for a permanent full-time Program Assistant – EPI (Early Psychosis Intervention). This position will report to the Manager, ACTT/EPI and will be based out of 60 West Drive, Brampton, ON, with expectation at times to work out of multiple sites across Brampton.


The Program Assistant will support the multi-disciplinary EPI team composed of Registered Nurses, Community Support Workers, Peer Support Workers, Psychiatry, and Occupational Therapist, by providing administrative support to the Manager and team.


Salary Range: $34,336.57 - $44,741.59 per year


What You’ll Do


  • Act as a liaison between the Program Manager and staff to ensure appropriate coordination and follow-up on day-to-day issues
  • Manage confidential information, as well as manage and maintain the Program staff and Manager’s schedules by planning and scheduling meetings, Trainings, using MS-Outlook Calendar to its fullest capacity
  • Organize and maintain electronic and paper filing systems
  • Create, revise, and improve systems and procedures by reviewing operating practices, record keeping systems and forms; Implement changes as approved by Manager
  • Enter and update client data and pull reports from the client data as required
  • Support the Manager in the Agency’s financial and HR administration processes as required
  • Prepare Purchase Orders, Quote sheets and reconciles with invoices, ensuring appropriate follow up with Finance and Accounts Payables departments
  • Follow up on monthly expense procedures for Program staff, as per Agency Policy
  • Track and remind staff of registration for mandatory trainings; track and remind the Manager of key dates such as PDPs, hire date anniversaries for their direct reports
  • Coordinate Physician/ Consulting billing (OHIP billing)
  • Book meetings as directed, organize space and logistics
  • Prepare agendas, record, and distribute accurate minutes and action items as per Agency templates, track, and update action items from meetings
  • Ensure AV and presentation materials/equipment are prepared and ready as required
  • Serve as backup recorder for other committees or groups
  • Co-ordinate and organize events such as trainings and team days, including catering and logistics
  • Maintain supply inventory by checking stock to determine inventory level, ordering supplies as needed, verifying receipt of supplies
  • Reception coverage, which includes interfacing with clients attending onsite appointments; taking calls from clients and/or calling clients to cancel/reschedule appointments

What You Need to Join Our Team


  • Post-secondary diploma in Business/Office Administration is required
  • At least 3 years of office administration experience
  • Superior knowledge and understanding of administrative role supporting large inter disciplinary teams
  • Experience working in the non-profit sector is an asset
  • Excellent communication and organizational skills, able to manage competing priorities and deadlines in a fast-paced environment
  • Enthusiastic problem solver and dedicated team player
  • Strong computer skills – Microsoft Office Suite, Outlook calendar, Visio, MS-Project, Client Record Management Systems
  • Expertise with database reports
  • Ability to travel in the Peel region, as required
  • Ability to speak French or a second language is an asset
  • Ability to work with the diverse client group, considering issues of equity and from an LGBQT positive framework
  • Satisfactory police records search and vulnerable sector screening
  • Satisfactory references
  • Proof of administered full-series Health Canada approved COVID-19 vaccination prior to start date. If unable to be vaccinated for reasons relating to protected grounds under the Code, completed medical or religious exemption must be provided
