Purpose

The Hearts in Action Program Assistant (Administration) will report to the Program Supervisor. The role is responsible for providing administrative support for day to day operations which includes documentation, filing, data entry, reporting on KPI’s, and ongoing communication internally and externally on behalf of AdaptAbilities. They are integral to the success of the program by providing valuable support to families, Community Specialists, and ultimately furthering the organizational vision. The conscientious Program Assistant will act with integrity, be open to growth, live our purpose, cultivate teamwork, and put forth an extraordinary effort to empower people with special needs and their families to grow, succeed, and belong.

Key Functions

  • Provides administrative and program support to Hearts in Action Team, including but not limited to data entry, documentation management, scheduling, weekly reporting, and internal and external communication with parents/guardians or stakeholders
  • Edit and create forms, reports and documentation processes for use in Programs
  • Prepare summer camp supplies including but not limited to supplies shopping and inventorying recreation, arts, and program supplies
  • Ability to work in a fast-paced environment, with flexibility managing competing departmental demands
  • Communicate effectively with integrity to individuals, families and co-workers
  • Perform other job-related activities, as required

Qualifications

  • Enrollment in a Diploma or Bachelor’s degree in Recreation, Human Services, Business Administration and/or related field
  • 2-3 years’ experience in related field, with one year administrative experience
  • Experience working with children, teens, and adults with disabilities is an asset
  • Experience utilizing office applications like Excel, Word, PowerPoint and Microsoft Office
  • Excellent written and verbal communication in English
  • Strong organizational and problem-solving abilities
  • Clear Police Information Check and Intervention Record Check

Working Conditions Compensation

This is a temporary full-time position from May 16, 2022 to September 2, 2022. Shifts are Monday to Friday 8:00 am to 4:30pm.

Effective November 29, 2021, AdaptAbilities requires all employees, contractors, on-site partners, and volunteers to be fully vaccinated unless there is an exemption on the basis of a protected legal ground or medical exemption.
