Extendicare recognizes the importance of immunization to protect our residents, patients, team members and visitors from COVID-19. As such, subject to medical exemptions, a condition of employment with Extendicare is requiring that all new hires have received all required doses of a COVID-19 vaccine approved by Health Canada.

Candidates are invited to apply for the above position to work at our Corporate Office located in Markham, Ontario

Reporting to the Manager, IT Asset & Procurement, theIT Procurement Coordinatorwill be responsible to manage end-to-end IT inventory. The coordinator will work with the Asset & Procurement Manager to establish processes for the ongoing management of inventory, purchases, vendor relations, and evaluating cost from different RFQ’s. You are a motivated, results-driven team player who will work closely with the IT team to improve customer satisfaction index and run efficient supply chain for IT operations.

Responsibilities
  • Track and maintain the inventory management database
  • Prepare purchase requests for various business units ensuring proper approval has been obtained and order product from vendors
  • Respond to customer inquiries about order status, changes, or cancellations.
  • Contact suppliers to schedule or expedite deliveries and to resolve shortages, missed or late deliveries.
  • Review purchase requisition orders to verify accuracy, terminology, and specifications.
  • Track and update the status of requisitions, and update the hardware tracker as necessary.
  • Verify shipment accuracy and product quality per specification for each order
  • Confirm supplier invoices aligns with the delivered & approved products, services, and warranty.
  • Determine if inventory quantities are sufficient for needs, ordering more materials when necessary.
  • Ownership for shipping out the items to the customers as per their requests and efficiently storing the inbound inventory coming into corporate office in a timely fashion
  • Reconcile inventory counts, resolve discrepancies, and maintain accurate records and report results.
  • Responsible for requesting return materials authorization (RMA) to vendor(s) for warranty and non-warranty product repairs.
  • Document all procurement activities into the current ticketing system and update the status of tickets in a timely manner.
  • Any other duties that may arise from time to time which fall within the parameters of this role and within the level of skills, competency, and training of the incumbent
Qualifications
  • Strong problem solving, time management, and decision-making skills
  • Strong communicator with excellent interpersonal and customer support skills.
  • Good MS Excel and PowerPoint skills - ability to construct well-structured thoughts
  • Collaborative style with the ability to work well and communicate with individuals at all levels of an organization.
  • Experience in understanding procurement guidelines and executing them proactively
  • Prior 2-3 years’ experience in procurement coordination role is an asset
  • Customer-focused attitude, with the ability to understand, anticipate and identify customer needs while using information to provide the best service possible
