Operations Coordinator

The Operations Coordinator provides general administrative operations support. This role is responsible for completion of export and import documentation including invoicing documents.
The Coordinator facilitates the entire process from customer inquiry to delivery to the customer.
Duties and Accountabilities

  • Coordinates completion of traffic documentation to meet strict operational conditions and company policies within the time frame available provided by the customers schedule.
  • Administers documents and data including payment details, orders and invoices.
  • Coordinates bookings and communicates with customers to confirm information and provide an update on booking changes.
  • Coordinates 3rd party suppliers and terminal operations to arrange required services (e.g. drayage of containers to and from terminals, inspections, etc.).
  • Coordinates meetings and distributes meeting minutes (e.g. safety meetings). Ensures the general office requirements are addressed.
  • Collaborates with operations team to ensure timely arrival of product to meet deadlines.
  • Processes data using various MS Office programs. Prepares and maintains documents, spreadsheets, reports and updates templates.
  • Performs additional duties as required, including support of the CSOC role at Duke Point Ferries as required.

Qualification Requirements

  • Completion of Grade 12 education required.
  • Training in logistics or transportation management is an asset.
  • 1-3 years of relevant work experience (marine industry preferred), or an equivalent combination of education and experience.

  • Intermediate to advanced computer skills (MS Office).
  • Ability to work well as a team member and communicate across functions
