DUTIES AND RESPONSIBILITIES:

Working within the Financial Aid & Awards team, the On-Campus Employment Coordinator is accountable for the planning, implementation, organization, administration and delivery of the on-campus employment programs and awards portfolios at Durham College. The incumbent will review, process and evaluate electronic employment applications for domestic and international students, determine applicant eligibility ensuring they meet program requirements, maintain confidential files and input all necessary data to the College’s information system. The incumbent works in compliance with regulations and audit standards set out by MTCU – Student Financial Aid Branch as well as internal college policies. The incumbent engages with internal employers, Human Resources and Payroll in a process of developing employment contracts for newly hired students.

The incumbent will also provide front-line customer service to current and future students by assisting them over the phone, email, Live Chat or in-person; support the award and bursary programs and financial aid office with operational processes.

Responsible for the administration and efficient performance of all operations and service delivery related to On-Campus Employment and the Awards Portfolio:

  • Co-ordinate the administration, and timely assessment of on-campus employment program applications
  • Execute reports from banner to assess all on-campus employment program applications
  • Create spreadsheets and tracking method to monitor applications for on-campus employment
  • Assist with budget creation and report for Director to determine the number of positions to be approved
  • Research best practices from other colleges/universities
  • Assist employer hiring by maintaining job postings on Hired Portal, and provide information to employers about on-campus employment
  • Tactfully inform employers and students of policies, procedures and adherence to Financial Aid and Awards policies, procedures and responsibility
  • Build and maintain applicant files adhering to supporting documentation requirements. Maintain strict confidentiality regarding student records and information
  • Assess payroll reports and confirms student employees are paid through the correct account
  • Track the number of hours students have worked to ensure the student has not gone over maximum allowed hours
  • Develop and coordinate Summer Employment Orientation presentation for students participating in the Summer Employment Program
  • Identify and request missing information, file changes, edit and complete application, appeals, change of eligibility

Provide quality customer service and responds to in-person and telephone inquiries:

  • Address and correct/modify technical/systems/process errors identified
  • Assist student queries regarding the completion of online application forms for federal and provincial loan programs, government bursaries, internal and external donor scholarships, bursaries and awards
  • Provide efficient and accurate processing of applications, corrections of errors and changes to student files on the Ministry OSAP on-line system
  • Verify students’ status and entitlement eligibility in accordance with Ministry Compliance and Audit Guidelines prior to distribution of loan documents, e-transfers, and forms
  • Enter and maintain student records via Ministry on-line system and banner

Records Custodian for OSAP documents:

  • Through the authority of the Manager of Financial Aid and Awards, delegates work to student staff to prepare and package records for Offsite Storage
  • Works with ministry to arrange pickup completed packaged records, prepare and package the OSAP records for off-site storage

QUALIFICATIONS:

  • A minimum of a three-year diploma in Business or Office Administration.
  • Work experience in a Student Financial Aid office or in a computerized office environment requiring a high degree of quality customer service.
  • Demonstrated experience interpreting complex government and institutional policies and procedures.
  • Proven ability to carry out concurrent projects involving shifting deadlines and priorities.
  • Must have proven experience showing a high degree of planning and organizational skills and demonstrated analytical and problem solving skills with a proven aptitude for detail and accuracy.
  • Experience in public speaking and developing presentations are essential.
  • Experience working independently, in a team environment, including strong planning and coordination skills with the experience independently prioritizing own work assignments to meet regular deadlines, and multitask while paying particular attention to detail and accuracy.
  • Comprehensive knowledge of OSAP programs, and experience with MTCU online systems such as AS400, OneKey, as well as computerized financial systems, student accounts, Banner and strong computer literacy.
  • Proven ability to carry out concurrent projects involving shifting deadlines and priorities.
  • Proven experience in providing efficient client advisory and information services, and assisting clients, particularly in difficult personal financial situations.
  • Must have proven experience showing a high degree of planning and organizational skills and demonstrated analytical and problem solving skills with a proven aptitude for detail and accuracy.
  • Demonstrate assessment and verification skills as they relate to records management, including a keen attention to detail.

Salary: Starting Rate: $28.85; Four Year Rate: $33.44
