Position Overview

The Officer, Document Processing Centre (DPC), is responsible for maintaining the integrity of Electronic Client Files (ECFs) at BDC. He or she carries out tasks that support business processes to ensure the accessibility and integrity of documents.

CHALLENGES TO BE MET
  • Ensure the quality and accuracy of documents by previewing and indexing documents to be uploaded into the ECFs that have been sent by other service centres and business centre employees using the existing procedures.
  • Ensure that the documents are legible, clear and able to be quickly and easily identified in compliance with BDC’s policies, practices and quality standards.
  • Accept or reject scanned documents according to their compliance with BDC criteria and policies, and ensure that their senders understand the grounds on which any documents are rejected.
  • Prioritize the scanned documents to be uploaded that have been submitted from each department in accordance with the service level agreement and ensure that pending requests are processed quickly.
  • Maintain relationships with business centre personnel and colleagues to foster good teamwork and the pursuit of common objectives and the consistent application of policies.
  • Monitor the uploading and indexing of highly confidential data into ECFs.
  • Ensure the integrity of documents and the data they contain for possible legal use by the Bank’s departments and external resources.
  • See to the ongoing optimization of activities at the Document Processing Centre and introduction of more efficient procedures.
  • Keep abreast of procedural changes related to the department.
  • Act as a team resource person and coach new hires.
  • Index more complex documents.
  • Keep the training guide updated.
  • Work with his or her manager to keep the tools required for DPC operations updated.
  • Potentially participate in various special projects related to the DPC at his or her manager’s request.
  • Carry out administrative tasks to support the business centres.
What We Are Looking For
  • Completed postsecondary education in business accounting, business administration or law
  • One to two years of relevant experience in the banking services sector or experience indexing electronic documents
  • A solid understanding of all aspects of BDC operations and services
  • A solid knowledge of Kofax (asset)
  • Good organizational agility and ability to set priorities and comply with tight deadlines
  • Ability to work autonomously
  • Team spirit, attention to detail, cooperative attitude and willingness to work as part of a team
  • Proven ability to show flexibility in order to adapt to a constantly changing environment
  • Proficiency using software tools and practical knowledge of Microsoft Office applications
  • Bilingualism (English & French)
The Centre’s hours of operation are from 8:00 a.m. to 8:00 p.m. The incumbent must be flexible as the position’s schedule may vary.
